As a Project Administrator, you will be instrumental in the successful execution of projects, working collaboratively to achieve project milestones and deliver exceptional customer experiences.
- • In this pivotal role, you will partner closely with Project Managers, providing essential support to coordinate intricate project activities. Your responsibilities will include meticulously tracking project readiness and key deliverables, ensuring all components are in place for successful deployment. You will be responsible for communicating clear and timely status updates to all relevant stakeholders, including internal teams, customers, vendors, and executive leadership. This communication is vital to ensure projects remain on track, within scope, and aligned with strategic objectives.
- • Operating within a fast-paced, matrixed organizational structure, you will navigate complex relationships with internal departments, external customers, diverse vendors, and subcontractors. Your ability to manage multiple concurrent implementations simultaneously will be key to success. You will play an active role in resolving project-related issues, proactively identifying potential roadblocks, and implementing solutions to maintain project momentum and ensure a high-quality customer experience throughout the entire implementation lifecycle.
- • A significant aspect of your role will involve managing the day-to-day operational facets of assigned projects. This includes diligent scope tracking to prevent scope creep and ensuring all readiness activities are completed according to plan. You will be responsible for reviewing and meticulously tracking client and third-party deliverables, as well as any prerequisites necessary for successful project completion. This involves close coordination and follow-up to ensure all parties meet their commitments.
- • You will ensure that critical checklists, such as discovery, pre-install, and readiness checklists, are thoroughly completed. Where necessary, you will provide direct assistance to stores or franchisees to help them meet these requirements, acting as a supportive resource. Furthermore, you will provide comprehensive support to the Project Manager in maintaining essential project documentation, including detailed rollout schedules, dynamic risk registers, and actionable logs. Your diligence in these areas will contribute significantly to the overall project governance and control.
- • A key ownership area for this role is the follow-through on any installations that are incomplete or not defect-free. You will be responsible for driving these issues to resolution, ensuring that all deployed solutions meet PAR’s high standards of quality and functionality. You will also be tasked with capturing and distributing accurate meeting notes and clearly defined action items, ensuring accountability and clear direction for all project participants.
- • You will assist with the critical coordination of provisioning activities, ensuring that necessary resources and equipment are allocated and deployed effectively. When issues arise, you will be responsible for escalating them appropriately and in a timely manner to ensure swift resolution. Beyond reactive issue management, you will proactively identify opportunities for process improvement within the project implementation lifecycle, contributing to greater efficiency and effectiveness for the team and the company.
- • Driving reporting on post-installation metrics to corporate stakeholders is another important responsibility. This involves gathering, analyzing, and presenting data that demonstrates the success and impact of our implementations. In certain situations, you will serve as a point of escalation for project issues, leveraging your understanding of project dynamics and PAR’s solutions to guide resolution when required.
