  • • We are seeking a dedicated and detail-oriented Administrative Assistant to provide crucial support across all TaxValet teams. This role is designed for an individual who thrives in a dynamic, collaborative environment and is eager to contribute to the seamless operation of our business. Your primary function will be to alleviate administrative burdens, allowing our specialized teams to focus on delivering exceptional sales tax services to our clients.
  • • In this role, your day-to-day responsibilities will be varied and will evolve as you grow with the company. You will become a key point of contact for several vital internal processes, including managing our email ticketing system, assisting with client billing system operations, and meticulously executing various essential forms required for client work, such as Power of Attorney forms. Your proactive approach and commitment to accuracy will be instrumental in ensuring client satisfaction and operational efficiency.
  • • You will be instrumental in managing all administrative tasks related to our existing clients. This involves supporting the Client Tax Specialist Team by managing client accounts within our custom software, accurately inputting client information into internal systems, and proactively reaching out to clients for feedback on our processes. Your meticulous attention to detail will ensure that client data is managed effectively and that their experience with TaxValet is positive and seamless.
  • • A significant aspect of your role will involve managing billing support and price increases. You will serve as the primary point person for all matters concerning client subscription pricing. This includes initiating communication with clients regarding upcoming price adjustments, diligently monitoring and tracking our pricing system, and identifying and collaborating with clients who have extended contracts. Your ability to handle these sensitive communications with professionalism and clarity will be vital.
  • • You will also be the go-to resource for time tracking support. Your responsibilities will include educating team members on proper time tracking procedures, regularly reviewing submitted time tracking data to ensure compliance, and addressing any discrepancies or questions that arise. Accurate time tracking is crucial for our operational efficiency and client billing, making this a critical function.
  • • Furthermore, you will play a key role in assisting with the creation of time-sensitive paperwork. This involves drafting various forms that require client signatures, ensuring that all necessary documentation is prepared accurately and promptly to meet client compliance needs. Your diligence in this area directly contributes to the successful and timely completion of client projects.
  • • Beyond these specific duties, you will be expected to undertake other administrative tasks as assigned by your manager, demonstrating flexibility and a willingness to contribute wherever needed. Your ability to adapt to changing priorities and support diverse administrative functions will be highly valued.
  • • Success in this role will be measured by specific, tangible outcomes. You will be expected to achieve 100% on-time completion of all assigned administrative tasks. Similarly, all client correspondence regarding subscription pricing must be completed punctually. You will also be required to complete 3 hours of work-related education or training per quarter, demonstrating a commitment to continuous learning. Finally, all quarterly 'rocks' (key objectives) must achieve at least an 80% completion rate for the year, showcasing your ability to drive projects to successful completion.

This structure is designed to facilitate collaboration with teams across different time zones while offering flexibility.
