📋 Description

  • Serve as a key operational liaison between the Chief Technology Officer (CTO) and cross-functional teams including Engineering, Product, and Operations to ensure alignment on strategic priorities.
  • Manage the CTO’s calendar, schedule meetings, coordinate internal and external communications, and prioritize time-sensitive requests with high accuracy and discretion.
  • Prepare and distribute meeting agendas, take detailed minutes, and track action items to ensure timely follow-up and accountability across teams.
  • Support the planning and execution of technical roadmap reviews, engineering all-hands, and executive-level presentations by gathering data, compiling reports, and designing clear visual summaries.
  • Coordinate logistics for internal and external technical events, including speaker arrangements, venue coordination, travel bookings, and material preparation.
  • Act as the primary point of contact for internal stakeholders seeking input or alignment from the CTO’s office, filtering requests and escalating appropriately.
  • Maintain and update documentation related to technology strategy, organizational structure, and decision logs in centralized repositories with strict confidentiality.
  • Collaborate with HR and Finance to facilitate budget tracking, hiring pipeline updates, and resource allocation aligned with the CTO’s strategic objectives.
  • Monitor industry trends, competitor technology moves, and emerging tools to provide curated insights that inform the CTO’s decision-making.
  • Assist in the onboarding and integration of new leadership hires into the technology organization, ensuring smooth transition and alignment with company culture.
  • Proactively identify inefficiencies in executive workflows and propose process improvements to enhance productivity and communication flow.
  • Represent the CTO’s office in internal meetings when required, conveying context and decisions accurately without overstepping authority.
  • Ensure all communications from the CTO’s office are consistent in tone, branding, and messaging across written and verbal channels.
  • Maintain strict confidentiality regarding sensitive strategic initiatives, personnel matters, and financial data related to technology investments.
  • Support the CTO in preparing for board meetings, investor updates, and external speaking engagements by assembling supporting materials and rehearsing key talking points.
  • Coordinate with legal and compliance teams to ensure technology initiatives adhere to regulatory standards and internal policies.
  • Track key technology KPIs and metrics, translating complex data into digestible summaries for executive review.
  • Manage relationships with external vendors and consultants engaged by the CTO’s office, ensuring deliverables are met on time and within scope.
  • Adapt quickly to shifting priorities and emerging needs in a fast-paced, scaling technology organization.

🎯 Requirements

  • Proven experience as an executive assistant, office associate, or similar role supporting C-suite or senior technology leaders
  • Exceptional organizational skills with the ability to manage multiple high-priority tasks simultaneously
  • Strong written and verbal communication skills with fluency in English
  • High level of discretion and integrity when handling confidential information
  • Proficiency in productivity tools such as Google Workspace, Microsoft Office, Calendly, and project management platforms
  • Demonstrated ability to anticipate needs and act proactively in a dynamic environment
