- • Own and harden OpenAI’s recruiting platform, primarily focused on Ashby, including configuration of stages, fields, permissions, approvals, templates, and workflow standards.
- • Partner on high-priority remediation efforts across critical recruiting workflows such as start dates, offer processes, approvals, integrations, auditability, data integrity, and workflow controls.
- • Design and implement governed workflow changes that balance recruiter usability with reporting trust, downstream integration reliability, and compliance requirements.
- • Establish and maintain operational guardrails including required and conditional fields, stage definitions, role-based permissions, approval logic, validation patterns, and change control standards.
- • Identify root causes of recurring operational issues and resolve them through system configuration, automation, documentation, or process redesign—reducing dependency on tribal knowledge.
- • Collaborate with PXT, IT, vendors, and People Analytics to manage integrations, monitor system health, respond to incidents, and reduce failure modes across the recruiting ecosystem.
- • Improve data quality by enhancing data capture design, standardizing definitions, implementing audit mechanisms, and refining exception handling procedures.
- • Coordinate controlled releases including testing, UAT, rollout planning, stakeholder communications, enablement, and post-launch monitoring for recruiting system updates.
- • Create and maintain comprehensive SOPs, change records, training materials, and reference documentation to ensure operational clarity and sustainability.
- • Help define and formalize the operating boundary between PXT’s platform ownership and RecOps’ day-to-day service support for recruiting systems.
- • Leverage hands-on experience with Ashby and Workday to configure production workflows, optimize reporting, and ensure system reliability at scale.
- • Support global and multi-entity recruiting workflows by aligning configurations with regional compliance, legal, and operational requirements.
- • Apply sound judgment in change control, access governance, and workflow design within a compliance-sensitive, audit-ready, and public-company-readiness environment.
- • Monitor and improve integration health with downstream systems including HRIS, compensation tools, and analytics platforms to ensure data consistency and system reliability.
- • Drive end-to-end systems programs beyond reactive break-fix tasks, focusing on durable, scalable solutions that reduce operational friction and increase trust in recruiting data.
- • Work at the intersection of Recruiting, HR Operations, Legal, Compensation, Analytics, IT, and PXT to ensure recruiting systems serve as governed, reliable sources of truth.
🎯 Requirements
- • Deep, hands-on expertise with Ashby, including production configuration of workflows, fields, permissions, approvals, and templates.
- • Strong working knowledge of recruiting workflows, offer processes, candidate/requisition data, and downstream system impacts.
- • Hands-on experience configuring workflows, fields, permissions, or integrations in Ashby and Workday (or another HRIS) in a production environment.
- • Demonstrated ability to lead scoped systems programs end to end, not just respond to break-fix requests.
- • Experience in compliance-sensitive, audit-sensitive, or public-company-readiness environments.
- • Experience supporting global or multi-entity recruiting workflows.
