- • We are seeking a highly organized, proactive, and exceptionally detail-oriented Executive Assistant to provide comprehensive, high-level support to the CEO of a dynamic professional services organization operating across Latin America. This pivotal role is designed for an individual who thrives in a fast-paced, remote environment and possesses a keen ability to anticipate needs, manage complex schedules, and execute tasks with precision and discretion. You will be instrumental in ensuring the CEO's efficiency and effectiveness, acting as a trusted gatekeeper and a vital link between the CEO and internal/external stakeholders.
- • As the Executive Assistant, your primary responsibility will be to manage the CEO's demanding calendar, which includes coordinating internal and external meetings, calls, and travel arrangements. This involves meticulous planning, considering time zones across Latin America and potentially other global regions, ensuring all participants have the necessary information, and proactively resolving any scheduling conflicts. You will be responsible for preparing agendas, taking minutes, and tracking action items to ensure follow-through on key decisions and initiatives.
- • Beyond calendar management, you will be tasked with handling a wide array of administrative duties. This includes managing and filtering high volumes of email correspondence, drafting professional communications, preparing reports and presentations, conducting research on various topics relevant to the business, and organizing and maintaining digital and physical files. Your ability to prioritize tasks effectively and manage multiple projects simultaneously will be crucial for success in this multifaceted role.
- • A significant aspect of this position involves light marketing coordination. You will assist in the preparation and distribution of marketing materials, manage social media scheduling and basic content posting, and support the CEO in coordinating with external marketing agencies or vendors. This may include tracking campaign progress, organizing marketing assets, and ensuring brand consistency across various platforms. Your contribution here will directly support the company's growth and brand visibility initiatives.
- • You will serve as a primary point of contact for the CEO, screening calls, responding to inquiries, and directing them to the appropriate individuals or departments. Building and maintaining strong relationships with key stakeholders, including clients, partners, and employees, will be essential. Your professionalism, tact, and excellent communication skills will be vital in representing the CEO and the organization.
- • This role requires a proactive approach to problem-solving. You will be expected to identify potential issues before they arise and implement solutions independently. - • Preparing and editing correspondence, reports, presentations, and other documents with a high degree of accuracy.
- • Conducting research and compiling information for meetings, projects, and strategic initiatives.
- • Managing and prioritizing incoming communications (email, phone calls) on behalf of the CEO.
- • Organizing and maintaining digital and physical filing systems for easy retrieval.
- • Assisting with light marketing tasks, such as preparing materials, coordinating social media posts, and liaising with vendors.
- • Acting as a liaison between the CEO and internal teams, external partners, and clients.
- • Tracking action items from meetings and ensuring timely completion.
- • Handling expense reporting and other financial administrative tasks.
- • Anticipating the CEO's needs and proactively addressing them.

🎯 Requirements
- • Proven experience as an Executive Assistant, Personal Assistant, or similar senior administrative role, preferably supporting C-level executives.
- • Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively in a remote setting.
- • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Calendar, Gmail).
- • Excellent written and verbal communication skills in both English and Spanish, with a keen eye for detail and grammar.
- • Experience with travel booking and expense management.
- • High level of discretion, professionalism, and ability to handle confidential information.
