- • As an Executive Assistant II, you will play a pivotal role in supporting the Chief People Officer and the Vice President of Global Total Rewards and Analytics. This is a dynamic position requiring a highly adaptable individual capable of tailoring their approach to meet the unique needs of each executive. Your primary responsibility will be to proactively anticipate needs, seamlessly manage competing priorities, and ensure the utmost efficiency of your executives’ calendars and schedules, often across multiple time zones and locations.
- • Success in this role hinges on a blend of professionalism, exceptional organizational prowess, and the ability to navigate diverse working styles with grace and effectiveness. You will be instrumental in balancing proactive planning with the agility to adapt to unforeseen changes, managing intricate calendars, and fostering alignment across teams and stakeholders. Beyond the logistical demands, this role is integral to nurturing Crusoe’s vibrant culture and advancing our mission, acting as a trusted partner to the executive team and a positive force for operational excellence.
- • You will collaborate closely with other Executive Assistants and Workplace Managers, contributing to a cohesive support system. As the company continues its rapid growth, your responsibilities may evolve, offering opportunities for expanded scope and impact. By ensuring seamless operational efficiency and supporting executive alignment, you will directly contribute to Crusoe’s overarching mission and our cultural aspiration to make Crusoe the world’s favorite AI Cloud.
- • Key responsibilities include providing high-quality, timely, and detailed administrative support. This encompasses managing complex calendars of appointments, accurately processing expense reports, composing and preparing confidential correspondence, meticulously arranging domestic and international travel, and ensuring all relevant stakeholders are kept informed and aware in support of these critical activities.
- • You will be responsible for managing and supporting the calendar coordination for the Leadership team’s direct reports, ensuring seamless alignment across internal team meetings, cross-functional collaborations, and external engagements.
- • A crucial aspect of this role involves thoughtfully managing scheduling requests to optimize the executives’ time management and ensure their days are structured for maximum productivity and impact.
- • You will enhance the effectiveness of both internal and occasional external meetings by proactively gathering and tracking key discussion topics, decisions made, and action items. This will enable you to develop comprehensive agendas, meticulously document meeting notes, and ensure diligent follow-through on all assigned tasks.
- • You will take the lead in planning and executing leadership offsites, team events, and significant gatherings. This includes owning all logistical aspects, coordinating with vendors, developing engaging agendas, and providing on-site support to ensure successful outcomes.
- • A significant opportunity within this role is to identify, design, and implement innovative new processes and solutions aimed at improving team collaboration, overall efficiency, productivity, and communication channels.
- • You will work in close partnership with other EAs and Workplace Managers to coordinate corporate travel arrangements, manage conference registrations, and support office-wide and company-wide events and activities, ensuring a unified and professional approach.
- • In addition to professional duties, you may be called upon to perform occasional personal tasks and errands for leadership, demonstrating flexibility and a commitment to supporting the executive team comprehensively.
- • You will also be expected to handle other clerical or administrative duties as assigned, contributing to the broader operational needs of the organization.
- • Accessibility and availability during traditional work hours are expected, with occasional flexibility required outside standard hours to address urgent or time-sensitive matters.
🎯 Requirements
- • 3-5 years of experience in an executive administrative role.
- • Exceptional communication skills—written, verbal, and interpersonal.
- • Strong attention to detail and accuracy in all aspects of work.
- • Proven ability to prioritize conflicting needs and manage time effectively in a fast-paced environment.
- • Proficiency in Google Workspace (Gmail, Docs, Sheets, Drive, Slides, etc.).
