- • **Operational Support:** Your responsibilities will encompass the comprehensive management and prioritization of calendars, intricate scheduling, and the meticulous planning of daily agendas. You will expertly manage inboxes, skillfully drafting, filtering, and escalating communications, or responding directly as appropriate. A key function will be the preparation of concise and impactful meeting briefs, ideally presented as half-page bullet summaries, alongside detailed action lists. You will rigorously track follow-ups using sophisticated Notion dashboards and trackers, ensuring accountability and progress. Furthermore, you will expertly handle all travel and event logistics, including occasional international arrangements, managing your time and coordination with a high degree of self-sufficiency. A critical aspect of this role involves setting up, diligently maintaining, and continuously optimizing task management systems such as Notion, Todoist, and Reclaim.ai, ensuring the calendar serves as the definitive single source of truth for all scheduling activities.
- • **Systems & Improvement:** You will actively co-develop essential operational frameworks, including decision rights, Service Level Agreements (SLAs), Standard Operating Procedures (SOPs), and vendor expense workflows. You will own the ongoing maintenance of these operational systems and proactively propose strategic optimizations aimed at increasing deep work time for both yourself and the executive. A vital part of your role will be to filter communications and incoming tasks, ensuring that your focus, and that of the executive, remains exclusively on high-impact items that drive strategic objectives. Post-probation, you will take direct responsibility for managing onboarding and offboarding workflows and overseeing basic security access controls, contributing to a secure and efficient operational environment.
- • **Executive Partnership & Personal Support:** This role extends to providing comprehensive personal support, including managing personal scheduling, setting timely reminders, coordinating celebrations, and handling gifting arrangements. You will occasionally be expected to accompany the executive to in-person meetings or events, particularly when based in or around London. A proactive approach to streamlining and improving personal systems and tasks will be highly valued, ensuring efficiency extends beyond professional duties.
