As a Health Information Specialist I, you will play a crucial role in managing patient health information, ensuring its integrity, and facilitating its secure and compliant release. This is a full-time, remote position, operating Monday through Friday from 8:00 AM to 4:30 PM EST. You will be an integral part of a driven and highly collaborative team dedicated to creating transformative change in the healthcare industry, from fulfilling individual patient record requests to supporting the advancement of AI in healthcare.
  • • In this high-volume production environment, your primary responsibility will be to receive and meticulously process requests for patient health information. This involves interacting with patients, insurance companies, and attorneys via phone to provide essential medical status updates and fulfill record requests. You will be adept at navigating multiple digital platforms, often utilizing dual monitors, to document information accurately and efficiently. Maintaining the highest standards of confidentiality and security for all privileged information is paramount, requiring a consistent application of medical privacy regulations to guard against any unauthorized disclosure.
  • • Your day-to-day activities will include preparing new patient charts by gathering necessary documents and information from both paper sources and electronic health records. You will ensure that all medical records are assembled in the standard order, are accurate, and are complete, contributing to the overall quality and reliability of patient data. A key aspect of this role involves creating digital images of paperwork, which will then be securely stored within the electronic medical record system, enhancing accessibility and reducing the reliance on physical documents.
  • • You will be responsible for responding to a variety of requests for patient records, both from within the facility and from external sources. This requires efficiently retrieving the correct records and transmitting them through appropriate and secure channels. The role also involves answering inbound and outbound calls, serving as a point of contact for inquiries and requests. In some instances, you may also assist with patient walk-ins, providing a welcoming and efficient experience.
  • • Beyond core record management, you may be called upon to assist with various administrative duties. This could include handling faxes, processing incoming mail, and performing data entry tasks to support departmental operations. A critical component of your success will be meeting established productivity expectations, which are outlined for specific sites, ensuring that workflow efficiency is maintained. You may also be involved in scheduling pick-ups for records or other related materials.
  • • This role demands a proactive approach to managing patient health records, ensuring their integrity and safeguarding them in compliance with all relevant regulations, most notably HIPAA standards. You will maintain a working knowledge of company and facility software, adapting quickly to new systems and updates. Adherence to the company's and customer facilities' Code of Conduct and policies is essential, reflecting our commitment to ethical practices and operational excellence.
  • • You will be expected to inform your manager of any work-related challenges, site-specific difficulties, or significant fluctuations in workload volume. Furthermore, you will be prepared to assist with additional work duties or responsibilities as they arise, demonstrating flexibility and a willingness to contribute wherever needed. The ability to work with minimum supervision, respond effectively to changing priorities, and manage multiple tasks simultaneously is crucial for success in this dynamic environment. You will be comfortable working in a fast-paced setting, responding to requests promptly and accurately.
