- ⢠As the Sydney Office Manager at Heidi Health, you will be the central figure ensuring the Sydney workspace operates smoothly, feels energized, and reflects the companyās culture of care and innovation. You will own the day-to-day operations that keep the office functional and welcoming, directly supporting clinicians, engineers, and creatives in their mission to restore humanity to healthcare through AI-powered tools.
- ⢠You will manage facilities, supplies, and equipment setup while coordinating with building management for maintenance and improvements, ensuring the workspace remains safe, efficient, and conducive to high-performance work. This includes overseeing vendor relationships, managing service contracts, and proactively addressing logistical needs before they become disruptions.
- ⢠You will organize and coordinate a variety of company events ā from internal team gatherings and client-facing sessions to offsites and celebrations ā creating meaningful experiences that strengthen team cohesion and reflect Heidiās values of connection and psychological safety.
- ⢠You will partner closely with the People & Operations team to support onboarding, team communications, and culture initiatives, helping new hires integrate smoothly and reinforcing Heidiās principles of meritocracy, trust, and shared growth.
- ⢠You will maintain and improve office systems and processes, continuously seeking ways to streamline workflows and enhance efficiency as the Sydney team scales, ensuring administrative functions keep pace with the companyās rapid growth.
- ⢠You will support general administrative tasks and ad hoc projects across the business, demonstrating flexibility and initiative in responding to evolving needs while maintaining a steady, positive office environment.

- ⢠Proven experience in office coordination, facilities management, event planning, or culture-building ā whether formal or informal ā with a track record of organizing spaces and experiences that support team effectiveness and morale.
- ⢠Strong interpersonal and communication skills, with the ability to build trust quickly, collaborate across diverse teams (clinical, technical, creative), and serve as a reliable point of contact for vendors, building management, and internal stakeholders.
- ⢠High attention to detail combined with a proactive, bias-for-action mindset ā capable of managing multiple logistics, timelines, and moving parts without dropping the ball, while anticipating needs before they arise.
- ⢠Comfort operating in a fast-moving, high-growth startup environment where priorities shift frequently, demonstrating adaptability, resilience, and a steady, positive attitude amid change.
