Full Job Description

šŸ“‹ Description

  • • As the Sydney Office Manager at Heidi Health, you will be the central figure ensuring the Sydney workspace operates smoothly, feels energized, and reflects the company’s culture of care and innovation. You will own the day-to-day operations that keep the office functional and welcoming, directly supporting clinicians, engineers, and creatives in their mission to restore humanity to healthcare through AI-powered tools.
  • • You will manage facilities, supplies, and equipment setup while coordinating with building management for maintenance and improvements, ensuring the workspace remains safe, efficient, and conducive to high-performance work. This includes overseeing vendor relationships, managing service contracts, and proactively addressing logistical needs before they become disruptions.
  • • You will organize and coordinate a variety of company events — from internal team gatherings and client-facing sessions to offsites and celebrations — creating meaningful experiences that strengthen team cohesion and reflect Heidi’s values of connection and psychological safety.
  • • You will partner closely with the People & Operations team to support onboarding, team communications, and culture initiatives, helping new hires integrate smoothly and reinforcing Heidi’s principles of meritocracy, trust, and shared growth.
  • • You will maintain and improve office systems and processes, continuously seeking ways to streamline workflows and enhance efficiency as the Sydney team scales, ensuring administrative functions keep pace with the company’s rapid growth.
  • • You will support general administrative tasks and ad hoc projects across the business, demonstrating flexibility and initiative in responding to evolving needs while maintaining a steady, positive office environment.
  • • You will work within a fast-paced, high-growth startup culture where priorities shift quickly, requiring adaptability, emotional intelligence, and a bias for action — all while upholding Heidi’s core principles of building to last, owning your practice, moving fast but staying steady, and making others better.
  • • You will have the opportunity to shape what ā€˜great culture’ looks like in the Sydney office, bringing creativity and initiative to design rituals, spaces, and experiences that make team members feel seen, valued, and empowered to do their best work.
  • • You will grow alongside a mission-driven team that has already returned over 18 million hours to healthcare professionals and supports more than two million patient visits weekly across 116 countries, giving your role tangible impact on a global scale.

šŸŽÆ Requirements

  • • Proven experience in office coordination, facilities management, event planning, or culture-building — whether formal or informal — with a track record of organizing spaces and experiences that support team effectiveness and morale.
  • • Strong interpersonal and communication skills, with the ability to build trust quickly, collaborate across diverse teams (clinical, technical, creative), and serve as a reliable point of contact for vendors, building management, and internal stakeholders.
  • • High attention to detail combined with a proactive, bias-for-action mindset — capable of managing multiple logistics, timelines, and moving parts without dropping the ball, while anticipating needs before they arise.
  • • Comfort operating in a fast-moving, high-growth startup environment where priorities shift frequently, demonstrating adaptability, resilience, and a steady, positive attitude amid change.
  • • A people-first, thoughtful approach to workspace and experience design — caring not just about functionality but also about how the office feels, and consistently seeking ways to improve the day-to-day experience of the team.
  • • Creativity and initiative to propose and implement new ideas for office rituals, events, or environmental enhancements that align with Heidi’s culture and make the Sydney workspace uniquely reflective of the company’s values.

šŸ–ļø Benefits

  • • Flexible hybrid working arrangement with three days in the office per week, supporting work-life balance while maintaining team connection and collaboration.
  • • Generous personal development budget of $500 per year to invest in courses, workshops, or certifications that support your growth and professional aspirations.
  • • Opportunity to receive equity (shares) in Heidi Health, allowing you to share in the company’s long-term success and growth as a stakeholder in its mission.
  • • Access to learn from world-class engineers, designers, clinicians, and creatives in a diverse, mission-driven team that values psychological safety, feedback, and shared growth.
  • • The rare chance to contribute to a global healthtech impact — supporting over two million patient visits weekly across 116 countries — while working from Sydney in a role that scales with the company’s expansion.
  • • Clear pathway for rapid career advancement: if you demonstrate impact quickly, you will have the opportunity to fast-track your startup career within Heidi Health’s high-growth environment.
