- • As the Office Manager for Nivoda’s Netherlands Fulfilment hub in Amsterdam, you will play a pivotal role in ensuring the seamless operation of a high-security, high-accuracy environment critical to the global jewellery supply chain. Your work directly enables efficient logistics and shipment activities by maintaining organisational excellence, supporting the fulfilment team, and serving as the central point of coordination between internal teams, external partners, and service providers. This part-time, 100% in-office role (Mon, Wed, Fri, 9am–6pm) is based in Oude Meer, North Holland, and offers a salary range of €25,000–€28,000 annually, reflecting the importance of your contribution to Nivoda’s mission of transforming the diamond and jewellery industry through transparency, speed, and digital innovation.
- • Day to day, you will oversee the administrative operations of the Amsterdam hub, ensuring the office remains organised, well-resourced, and compliant with internal standards. This includes managing office supplies through monthly inventory reviews, coordinating facilities matters with the landlord, cleaning company, and building service providers, and acting as the main contact for the security provider to manage alarm systems and coordinate security-related maintenance. You will also organise team lunches and small office events, including regular office picnics or team lunch days, to foster a structured and productive workplace culture.
- • In fulfilment support, you will assist the team with administrative tasks related to inbound and outbound shipments, maintain and monitor inventory of shipping materials such as packing materials, carriers, and order envelopes, and communicate regularly with logistics partners including FedEx, UPS, and secure couriers to ensure timely and accurate dispatch and receipt of high-value goods.
- • You will partner closely with the Hub Lead and fulfilment personnel to align on operational priorities, provide onboarding and orientation support for new team members, and act as a central coordination point between internal teams and external service providers to ensure smooth day-to-day operations. Your role demands upholding strict confidentiality and discretion when handling sensitive office information, documentation, and logistics data, while ensuring that office systems and physical spaces comply with security protocols relevant to handling high-value goods in a B2B jewellery marketplace environment.

🎯 Requirements
- • 3+ years of experience in office administration, operations coordination, or similar roles; experience in logistics, fulfilment, or supply chain environments is a plus.
- • Strong organisational and multitasking skills with a structured approach to problem-solving.
- • Excellent written and verbal communication skills in English; Dutch proficiency is beneficial.
- • High attention to detail and accuracy in documentation and coordination tasks.
