  • We are actively seeking a highly motivated and execution-focused Operations Assistant to become an integral part of our core business operations. This critical role will provide comprehensive support across key areas including finance, compliance, and general office administration. You will work in close collaboration with our Chief of Staff and Controller, playing a vital role in ensuring that essential operational processes are managed with precision and efficiency. This includes meticulous management of Accounts Payable, adherence to stringent government contract compliance, and seamless internal coordination.
  • The ideal candidate for this position is someone who possesses an exceptional eye for detail and thrives in a fast-paced, dynamic setting. You should be comfortable with the demands of task-switching, managing multiple priorities where urgency is often the norm, and possess the confidence to communicate effectively with executives and cross-functional teams. We are looking for a proactive individual, a true 'doer' who demonstrates a consistent ability to take initiative and ensure tasks are completed successfully.
  • As an Operations Assistant, you will be the operational backbone of our growing company, ensuring that the foundational elements of our business run smoothly. Your responsibilities will span several key domains:
  • **Office & Operations Administration:** You will be responsible for maintaining highly organized digital filing systems, primarily utilizing Google Drive, ensuring that all critical documents are easily accessible and well-categorized. This includes assisting with general office administration tasks and coordinating with various vendors to ensure smooth operations. A significant part of your role will involve coordinating the logistical aspects of company meetings, including our All Hands sessions and other internal events, ensuring they are well-planned and executed. Furthermore, you will play a key role in supporting the onboarding process for new hires, coordinating the setup of their workspace and ensuring all necessary equipment is readily available.
  • **Finance & Compliance Support:** You will provide crucial support to our Controller in managing Accounts Payable processes. This involves meticulous tracking of invoices, ensuring all documentation is complete and accurate, and maintaining organized financial and compliance records. A key aspect of this function is ensuring that all documentation strictly adheres to reporting requirements and internal control policies. You will also be instrumental in preparing and submitting necessary compliance documentation for government contracts and various funding programs, ensuring PickNik meets all its obligations. Additionally, you will assist with audit preparation and respond to documentation requests as needed, demonstrating a commitment to transparency and accuracy.
  • **Marketing & Event Logistics:** You will contribute to our external presence by coordinating the logistics for conferences and trade shows. This includes managing registrations, preparing necessary materials, handling shipping arrangements, and scheduling key personnel. You will also support the execution of our webinars and other virtual events, ensuring a seamless experience for attendees. Your role will extend to assisting with internal communications, facilitating coordination across teams using platforms like Slack and Google Workspace, ensuring information flows effectively throughout the organization.
