📋 Description

  • Own and continuously improve core people operations across the employee lifecycle, including onboarding, changes, and offboarding
  • Manage HR systems (Hibob), maintain accurate employee records, and ensure all people documentation is current and compliant
  • Support benefits administration and coordinate policy updates with external providers
  • Run day-to-day office coordination, manage supplier relationships, and support office moves or changes as the company scales
  • Organize and coordinate company events, team socials, and offsites to foster culture and engagement
  • Coordinate end-to-end recruitment processes in partnership with hiring managers, including job posting, candidate communication, and interview scheduling
  • Maintain and update the applicant tracking system (ATS) to ensure accurate and timely recruitment data
  • Assist in drafting job descriptions and posting roles across relevant channels to attract qualified candidates
  • Ensure a positive and professional candidate experience throughout the hiring process
  • Support employment-related legal documentation including contracts, variations, and compliance across jurisdictions
  • Coordinate with external legal and HR advisers as needed for operational and compliance matters
  • Provide dedicated operational support to the Co-founder and Chief Legal Officer on matters where people and legal functions intersect
  • Act as the primary point of contact for employees on day-to-day people-related questions and concerns
  • Help embed and promote consistent people practices and policies across the organization
  • Maintain discretion and sound judgment when handling sensitive employee and operational information
  • Demonstrate a pragmatic, proactive approach to problem-solving with clear communication at all levels
  • Contribute to building scalable, efficient processes that support Definely’s growth as a scaling legal tech company

🎯 Requirements

  • Experience in a people operations, HR generalist, or operations role, ideally within a startup or scaling company
  • Exposure to end-to-end recruitment processes and coordination of hiring activities
  • Proven ability to own and improve processes end-to-end with strong attention to detail
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment
  • Discretion and sound judgment when handling confidential employee and legal information
  • Pragmatic, action-oriented mindset with clear communication skills across all levels
