  • As the Operations Manager, you will be instrumental in shaping and executing strategic operational efficiency initiatives across TPIC's Recovery Operations. This pivotal role encompasses both Case Management and Litigation functions, with a core responsibility to fundamentally transform our recovery workflows. You will be tasked with identifying operational bottlenecks, architecting and implementing scalable processes, and deploying innovative no-code tooling and system integrations designed to amplify the effectiveness and output of our dedicated teams.
  • This position transcends traditional project management. We are seeking a proactive 'builder' – an individual who possesses the foresight to dissect a complex, underperforming workflow, the ingenuity to design a robust solution, and the agility to implement an automation that yields tangible results, often within a compressed timeframe. You will own the critical operational infrastructure that underpins our entire recovery engine, and your contributions will have a direct and measurable impact on our recovery rates and overall revenue.
  • Your primary responsibility will be to own the end-to-end efficiency of Recovery Operations. This involves meticulously mapping existing workflows across both Case Management and Litigation, conducting thorough analyses to pinpoint areas for improvement, and continuously refining these processes to boost throughput, minimize errors, and elevate resolution rates. You will be the architect of operational excellence, ensuring our recovery mechanisms function with maximum efficacy.
  • A key facet of this role is the creation and deployment of no-code and low-code operational products. You will design and implement sophisticated workflow automations, intelligent decision tools, and process enhancements utilizing intuitive no-code platforms. The objective is to significantly reduce manual effort, thereby enabling our teams to scale their operations effectively without a proportional increase in headcount, fostering a lean and agile operational model.
  • Driving systems integration and optimization is another critical area of focus. You will be responsible for building and maintaining essential integrations, automations, and optimizations across our suite of recovery operations platforms. This includes, but is not limited to, FileVine, Infotrack, and other specialized legal tech tools. The goal is to ensure seamless data flow, maintain operational consistency, and enhance the overall functionality of our technology stack.
  • You will lead the charge in process design and documentation, creating and maintaining comprehensive runbooks, Standard Operating Procedures (SOPs), and a robust process library. These documents will serve as the foundational operational backbone for both the Case Management and Litigation teams, ensuring clarity, consistency, and adherence to best practices across all recovery activities.
  • Proactively identifying and eliminating bottlenecks within the recovery lifecycle is paramount. You will be expected to surface inefficiencies across the entire recovery journey and spearhead cross-functional efforts to implement durable, scalable solutions that address these challenges head-on, ensuring a smooth and efficient operational flow.
  • A significant part of your role will involve supporting FileVine enablement. This includes ensuring FileVine is correctly configured to meet operational needs, promoting consistent adoption across all relevant teams, and optimizing its functionality for seamless collaboration with both outside counsel and internal legal operations teams, maximizing the value derived from this critical platform.
  • Cross-functional collaboration will be essential. You will partner closely with Case Management, Legal, and Product/Engineering teams to effectively translate operational needs into concrete system improvements and well-defined engineering requests. This requires articulating clear requirements and establishing measurable outcomes to ensure alignment and successful project execution.
  • Finally, you will manage and prioritize the operations improvement backlog. This involves maintaining a structured pipeline of improvement initiatives, carefully balancing the pursuit of quick wins that offer immediate impact with strategic, longer-term systems investments that drive sustained operational growth and efficiency.

🎯 Requirements

  • Minimum of 3 years of experience in operations roles with a strong emphasis on process improvement, workflow automation, or systems optimization.
  • Proven ability to build and deploy no-code or low-code solutions using platforms such as Zapier, Make, Airtable, or similar tools to address and solve real-world operational challenges at scale.
  • Experience configuring, optimizing, or administering legal tech or case management platforms; proficiency with FileVine, Infotrack, or comparable systems is highly preferred.
  • Possesses a strong systems thinking mindset, capable of understanding complex workflows, identifying critical leverage points, and designing solutions that remain effective and scalable as operational volume increases.
  • Demonstrated comfort and effectiveness operating in ambiguous environments, with a proactive approach to defining processes where none exist and systematically improving them where they do.
  • Previous experience in a startup or high-growth company environment is strongly preferred.
  • While not strictly required, prior experience in legal operations, litigation support, or healthcare claims is highly preferred.
  • Excellent written and verbal communication skills, with the ability to clearly document complex workflows and effectively coordinate efforts across both technical and non-technical stakeholders.
  • A data-driven approach to measuring operational performance and validating the impact and success of implemented improvements.
