  • Join the Future of Life Institute (FLI) as an Operations Team Member and play a pivotal role in scaling our organization. As part of a dynamic and nimble operations team, you will be instrumental in supporting our diverse work-streams and actively expanding our capabilities. This role is crucial for building the robust systems that enable us to undertake increasingly ambitious projects without compromising momentum or efficiency. You will report directly to our Director of Operations, contributing to the strategic and day-to-day functioning of FLI.

  • This specific role is designed to focus on two primary areas of responsibility: (1) managing legal, compliance, and contracts, and (2) meticulously planning our bi-annual staff retreats. While direct legal experience is not a prerequisite for this position, you will be expected to coordinate effectively with and receive support from our external law firms. This collaborative approach ensures that all legal and contractual matters are handled with expertise and precision, allowing you to focus on the operational aspects.
  • As with all members of our operations team, you should possess a strong generalist mindset, demonstrating a willingness and ability to contribute wherever needed. We are a small, close-knit team, which necessitates a high degree of adaptability and a proactive approach to problem-solving. Your ability to wear multiple hats and support various initiatives will be highly valued.
  • We are seeking a highly communicative individual who can take genuine ownership of their areas of responsibility. Developing innovative solutions to enhance efficiency and streamline processes is a key expectation for this role. You will have the opportunity to identify areas for improvement and implement changes that have a tangible impact on our operational effectiveness.
  • Furthermore, we are keen on expanding our IT support capacity within the operations team. While this may not form a core part of the role by default, we are open to integrating IT support responsibilities based on candidate preference and a strong role fit. If you have a knack for IT and a desire to contribute in this area, this could be an exciting avenue for growth within FLI.
  • In the legal, compliance, and contracts domain, your responsibilities will include maintaining organized records, coordinating document execution, liaising with external counsel on routine matters, and ensuring adherence to internal policies and external regulations. You will be a key point of contact for managing vendor agreements, service contracts, and other legal documentation, ensuring all terms are clear and all processes are followed diligently.
  • For the bi-annual staff retreats, you will be responsible for the end-to-end planning and execution. This includes venue research and selection, budget management, vendor coordination (catering, accommodation, activities), travel arrangements, and on-site support to ensure seamless and productive events. Your organizational skills will be paramount in creating memorable and effective gatherings for our team.
  • You will also contribute to the development and refinement of operational workflows, policies, and procedures. This involves identifying bottlenecks, proposing solutions, and implementing best practices to improve overall organizational efficiency and effectiveness. Your insights will be crucial in shaping how FLI operates as we continue to grow.

🎯 Requirements

  • Proven experience in operations, administration, or a related field, demonstrating strong organizational and project management skills.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external partners.
  • Proficiency in standard office software (e.g., Google Workspace, Microsoft Office Suite) and a willingness to learn new tools and systems.
  • High level of attention to detail and accuracy, particularly in managing documentation and logistical planning.
  • Ability to work independently, take initiative, and manage multiple priorities in a fast-paced, remote environment.
  • Experience or strong interest in event planning, particularly for team retreats or similar gatherings (nice-to-have).
