📋 Description
- • As a Training Operations Coordinator at Jellyfish, you will be instrumental in ensuring the seamless execution of our comprehensive training programs, which span over 250 digital marketing topics. Your role is pivotal in supporting the delivery of more than 2,000 training sessions annually, catering to a global audience across the UK, USA, Australia, and South Africa. You will be the linchpin connecting trainers, clients, and internal teams, ensuring an exceptional experience from initial booking to post-session feedback.
- • Your core responsibility will involve meticulously coordinating the scheduling and comprehensive preparation of all training sessions. This includes the critical task of booking appropriate venues, ensuring they are fully equipped and ready for use, and managing all logistical communications with attendees and trainers. A key part of this will be welcoming participants to our state-of-the-art training facilities at The Shard, setting a positive and professional tone for their learning journey.
- • You will be the guardian of our online training presence, maintaining the accuracy and integrity of course listings on the Jellyfish website. This involves conducting regular audits to identify and rectify any discrepancies, ensuring that information regarding dates, times, and content is always up-to-date. Furthermore, you will proactively monitor attendee lists and delegate bookings, managing any necessary changes, switches, or cancellations to guarantee that all session details, including virtual links and access codes, remain correct and functional.
- • For our international on-site training initiatives, you will expertly manage all travel and accommodation arrangements for our trainers. This requires a keen eye for detail, an understanding of logistical complexities, and the ability to secure suitable arrangements that support our trainers in delivering high-quality sessions abroad.
- • A significant aspect of your role will be fostering strong collaborative relationships with our sales team and directly with our clients. You will be involved in managing corporate bookings, acting as a central point of contact from the moment a sale is made through to the finalisation of the training delivery, ensuring all client needs and expectations are met.
- • Maintaining meticulous and organised records is paramount. You will be responsible for keeping accurate documentation of all bookings, processing invoices efficiently, and retaining detailed records of each training session. This organised approach ensures accountability and provides a clear overview of training operations.
- • To drive continuous improvement and uphold the highest standards of quality, you will be responsible for collecting and analysing feedback from training sessions. Utilising tools like SurveyMonkey, you will gather insights from participants and trainers, which will then be used to inform and implement quality enhancements across our training offerings.
- • Beyond day-to-day coordination, you will be encouraged to proactively identify opportunities for process improvement. This involves critically evaluating current operational workflows and proposing innovative solutions to streamline processes, enhance efficiency, and leverage technology to automate tasks where possible, contributing to the scalability and effectiveness of the training function.

🎯 Requirements
- • Over two years of experience in an administrative or coordination role, managing multiple projects or deliverables simultaneously.
- • Proven proficiency in using spreadsheet software (e.g., Microsoft Excel, Google Sheets) for data entry, record keeping, and basic analysis.
- • Exceptional organisational skills with a meticulous attention to detail, ensuring accuracy in all tasks.
- • Strong interpersonal and client-facing skills, with a genuine desire to build relationships and add value.
- • Demonstrated ability to adapt plans and strategies in response to unforeseen circumstances or changing priorities.
- • Proactive approach to identifying and implementing solutions for process streamlining and automation.
