  • • As a Workplace Coordinator at Perplexity, you will be the cornerstone of our vibrant and dynamic office environment, playing an indispensable role in ensuring the seamless daily operations that empower our team to revolutionize internet search.   • • You will be the primary guardian of our physical workspace, meticulously overseeing all aspects of its day-to-day functionality. This includes the critical task of managing office supplies, ensuring we are always well-stocked with the essentials, and proactively placing orders before stock runs low. Your keen eye for detail will extend to maintaining office equipment, troubleshooting any technical glitches, and ensuring everything runs smoothly for our employees.
  • • A significant part of your role will involve creating a welcoming and comfortable atmosphere. This includes organizing delightful team meals and ensuring our kitchen is always replenished with a variety of snacks and drinks, fostering a sense of community and well-being.
  • • You will act as the central point of contact for all facility-related matters, building strong relationships with building management and a diverse range of external vendors. This involves not only addressing immediate issues but also proactively managing vendor contracts. You will maintain an accurate and accessible database of all vendors, detailing their services, contract terms, renewal dates, and pricing, ensuring all agreements are meticulously stored and readily available.
  • • Your responsibilities will encompass the end-to-end contract management process. This means collaborating closely with our Finance and Legal teams to negotiate, draft, sign, and renew vendor contracts, ensuring strict adherence to internal policies and budgetary constraints. Your diligence in this area will safeguard the company's interests and operational efficiency.
  • • You will be the go-to person for any office-related concerns, from facilities and equipment to utilities. Your role involves prompt triaging, effective troubleshooting, and timely escalation of problems to the appropriate vendors, building management, or internal teams, ensuring swift resolution and minimal disruption.
  • • A key aspect of your role will be close partnership with the Finance team. You will manage purchase requests, facilitate invoice approvals, contribute to budget tracking, and meticulously reconcile office and event-related expenses, ensuring financial accuracy and accountability.
  • • You will expertly manage our relationships with courier and delivery services, coordinating pickups, receiving packages, resolving any delivery discrepancies, and maintaining clear, organized logs for all incoming and outgoing shipments.
  • • This role offers a fantastic opportunity to showcase your event planning prowess. You will be responsible for planning, coordinating, and executing a variety of office events, from casual team gatherings and celebrations to more formal off-sites and workshops. This includes vendor selection, managing all logistical aspects, clear communication with attendees, and providing on-site support to guarantee a seamless and enjoyable experience for everyone.
  • • As the first point of contact for new hires and visitors, you will create a warm and professional welcome, ensuring they have everything they need to feel comfortable and productive from day one. This includes coordinating access cards, workstations, and providing a comprehensive office tour.
  • • You will collaborate closely with our IT and People Operations teams to ensure a smooth onboarding and offboarding process for our Belgrade office. This involves managing access cards, setting up workstations, maintaining seating plans, and overseeing the collection and return of company equipment.
  • • Maintaining accurate and up-to-date office documentation is crucial. You will manage seating charts, vendor lists, emergency contact information, and office guidelines, ensuring all relevant updates are clearly communicated to employees and other teams.
  • • Your proactive approach will be key in monitoring the overall office environment. You will identify opportunities for improvement in comfort, layout, supplies, and signage, driving small workplace projects to continuously enhance the employee experience and foster a more efficient and pleasant workspace.
  • • You will also play a vital role in supporting our health, safety, and compliance efforts within the office, adhering to relevant policies and coordinating periodic checks with landlords and external providers as needed.
  • • Beyond the operational tasks, you will serve as a cultural ambassador, actively contributing to and fostering a positive, collaborative, and inclusive work environment that aligns with Perplexity's values.

🎯 Requirements

  • • Proven experience in office management, procurement, HR, or similar operational roles, ideally within a multicultural or international environment.
  • • Exceptional organizational skills, with a structured approach to problem-solving and the ability to manage multiple priorities effectively.
  • • Strong communication and interpersonal skills, with the ability to build rapport and collaborate effectively with diverse teams and external stakeholders.
  • • A proactive and independent work ethic, demonstrating a strong ownership mindset and the initiative to anticipate needs and solve problems before they arise.
  • • Fluency in both Serbian and English languages, both written and spoken.
