📋 Description
- • As a (Junior) Invoicing & Claims Expert at roadsurfer GmbH, you will play a critical role in ensuring accurate and timely customer billing and dispute resolution, directly supporting the company’s financial health and customer satisfaction in a fast-growing, innovative travel and mobility brand.
- • You will execute end-to-end invoicing processes, validate billing data, manage customer inquiries and short-pays, track receivables, and maintain audit-proof documentation — all while upholding SLA commitments and contributing to a seamless customer experience in a remote-first, collaborative environment.

- • Your day-to-day responsibilities will include:
- • Preparing and issuing accurate customer invoices with all required attachments, ensuring compliance with internal and external billing standards.
- • Validating case data and confirming the presence and correct labeling of all mandatory documents before invoicing or dispute processing.
- • Clearly and empathetically explaining invoices, payment options, and charges to customers via email or phone, using de-escalation techniques to resolve objections and build trust.
- • Managing incoming customer inquiries, short-pays, and payment disputes, escalating complex cases to specialists while maintaining ownership through resolution.
- • Monitoring and adhering to SLA deadlines for invoicing, dunning, and dispute resolution, ensuring timely follow-ups and accurate tracking of outstanding receivables.
- • Coordinating with the Finance team on payment allocations, reconciliations, and month-end closing activities related to customer accounts.
- • Compiling factual timelines, evidence sets, and documentation packages for non-legal dispute preparation, supporting potential escalation or legal review.
- • Maintaining clean, well-indexed, and audit-proof digital case files using standardized naming conventions and storage protocols.
- • Utilizing and continuously improving response macros, email templates, and checklists to ensure consistent, professional, and brand-aligned communication.
- • Proactively identifying process inefficiencies and suggesting improvements to enhance accuracy, speed, and customer satisfaction in billing and claims workflows.
- • Staying updated on internal billing policies, ERP/CRM system updates, and industry best practices to ensure compliance and continuous learning.
🎯 Requirements
- • Proven background in customer billing, accounts receivable, customer support, or claims management, preferably in a service-oriented or subscription-based business.
- • Hands-on experience creating invoices, credit notes, and managing dunning processes or payment follow-ups using billing or ERP systems.
- • Excellent written and spoken English skills (minimum B2/C1 level), with strong abilities in de-escalation, objection handling, and empathetic customer communication.
- • Strong attention to detail and a commitment to audit-ready file management, ensuring accuracy and completeness in all documentation.
- • Familiarity with CRM systems (e.g., Salesforce, HubSpot), office tools (Microsoft 365/G Suite), and billing or ERP software (e.g., SAP, Oracle, NetSuite).
- • Reliable, ownership-driven work ethic with the ability to thrive in a remote, SLA-focused environment requiring self-discipline and proactive communication.
