  • • Maintain accurate and up-to-date financial records and bookkeeping documentation using QuickBooks for a U.S.-based client operating in operations and security.
  • • Manage daily bookkeeping tasks including transaction entries, bank reconciliations, and ledger updates to ensure financial accuracy and compliance.
  • • Coordinate payroll-related activities by gathering necessary data, verifying hours and rates, and ensuring timely submission to payroll providers.
  • • Generate, send, and track client invoices and monitor payment statuses to maintain consistent cash flow and reduce outstanding receivables.
  • • Track and categorize all business expenses, ensuring proper documentation and alignment with accounting policies and client requirements.
  • • Assist in preparing monthly, quarterly, and ad-hoc financial reports and operational summaries for leadership review.
  • • Reconcile bank and credit card statements regularly to identify and resolve discrepancies in financial data.
  • • Maintain organized digital and electronic filing systems for all financial records, receipts, invoices, and supporting documentation.
  • • Collaborate with leadership to provide clear, concise financial updates and respond to ad-hoc reporting requests in a timely manner.
  • • Support the implementation and refinement of bookkeeping workflows to improve efficiency, reduce errors, and enhance financial transparency.
  • • Ensure all financial activities adhere to confidentiality standards and comply with data security protocols for sensitive client information.
  • • Work independently within a fast-paced, remote environment while maintaining high standards of accuracy, reliability, and process adherence.
  • • Communicate effectively across time zones to align with U.S.-based leadership during core business hours (9 AM - 5 PM EST).
  • • Proactively identify bottlenecks in financial processes and propose actionable improvements to support scalable growth.
  • • Participate in training or onboarding initiatives to quickly adapt to client-specific accounting systems and reporting formats.
  • • Ensure all financial documentation is complete, properly labeled, and archived for audit readiness and internal compliance.
  • • Support month-end and year-end closing activities by gathering and organizing required data and ensuring deadlines are met.
  • • Serve as the primary point of contact for routine financial coordination tasks, acting as a bridge between operational teams and financial systems.
  • • Demonstrate strong follow-through by resolving outstanding financial inquiries and ensuring all tasks are completed with precision and timeliness.

🎯 Requirements

  • • 2+ years of experience in bookkeeping, accounting coordination, or financial administration
  • • Strong QuickBooks experience required
  • • Experience supporting payroll, invoicing, expense management, and bookkeeping workflows
  • • Strong attention to detail and organizational abilities
  • • Ability to work during U.S. business hours (9 AM - 5 PM EST)
  • • Comfortable handling sensitive financial information with confidentiality
