📋 Description

• Own the end-to-end accounts payable process, including invoice receipt, GL coding, approval routing, and payment execution via ACH, wire, or check.
• Review and verify all invoices for accuracy, proper authorization, and compliance with company policies, ensuring proper documentation and receipt collection.
• Perform three-way matching (PO, receipt, invoice) for all purchase-order-backed transactions and ensure accurate coding within the ERP system.
• Execute payment runs on schedule, guaranteeing timely and accurate cash disbursements to vendors and suppliers.
• Support month-end close by preparing AP accruals, reconciling the AP subledger to the general ledger, and clearing open items.
• Manage vendor relationships, respond to payment inquiries, and resolve discrepancies in a timely and professional manner.
• Administer the corporate card program, including card issuance, setting spending limits, enforcing policy compliance, and reviewing employee expense submissions.
• Maintain accurate vendor master data, including collection of W-9 forms and annual preparation and filing of 1099 forms.
• Assist in the billing and invoicing process, ensuring customer invoices are accurate, timely, and aligned with revenue recognition standards.
• Collaborate with Sales and Account Management teams to resolve billing disputes and ensure proper alignment between quote-to-order-to-invoice workflows.
• Support cash application activities by posting customer payments and reconciling unapplied cash in the system.
• Monitor accounts receivable aging and assist with collections outreach as needed.
• Maintain and update customer account records and assist in setting up new customer billing profiles.
• Partner with Revenue Operations to ensure seamless integration and accuracy across Salesforce, Stripe, Tabs, and Rillet for quote-to-cash processes.
• Establish and document scalable accounting processes from scratch, transitioning functions previously managed by an external firm to an internal, company-owned system.
• Ensure all accounting activities comply with GAAP and internal financial controls, building a foundation for future finance team growth.
• Work closely with cross-functional teams including Sales, Revenue Operations, and Engineering to align financial processes with business operations.
• Take ownership of building the company’s first in-house accounting function, creating systems and standards that will scale with the organization.

🎯 Requirements

• Bachelor's degree in Accounting, Finance, or a related field
• 2–4 years of accounting experience with a strong focus on accounts payable
• Solid understanding of GAAP and general accounting principles
• Experience with cloud-based ERP or accounting platforms (Rillet experience a strong plus)
• Familiarity with corporate card and spend management tools
• High attention to detail and strong organizational skills
