📋 Description

• The Accounts Payable Associate at Barkbus LLC plays a critical role in maintaining the financial integrity of a fast-growing, mission-driven pet health and wellness startup by ensuring accurate, timely, and compliant processing of all vendor invoices and payments, directly supporting operational continuity and financial transparency across a multi-state organization.
• Day-to-day responsibilities include performing full-cycle accounts payable functions such as coding, vouching, reviewing, and processing vendor invoices in compliance with internal controls; coordinating invoice processing for payment including 3-way matching, GL coding, data entry, and securing approvals; reviewing and completing all credit card transactions in Ramp with accurate GL coding; executing weekly payment processing readiness to ensure timely disbursements; setting up new vendors and maintaining W-9 and W-8BEN documentation for compliance; capturing financial commitments from executed contracts to establish payment schedules, milestones, GL codes, and dimensions; responding to and resolving vendor and employee inquiries professionally; maintaining the AP inbox, related files, and records with high organization and completeness; maintaining 1099 vendor data throughout the year and supporting accurate annual 1099 filing; ensuring adherence to AP internal controls and company financial policies; and supporting ad hoc requests from the Finance & Accounting team as needed.

• In this role, the Accounts Payable Associate will deepen expertise in full-cycle AP processes, gain hands-on experience with modern accounting tools like QuickBooks and Ramp, strengthen vendor management and compliance skills (including 1099 and W-9/W-8BEN handling), and develop the ability to thrive in a high-growth, fast-paced environment — positioning them for career advancement within a purpose-driven organization that values precision, accountability, and growth.

🎯 Requirements

• 2–4 years of accounts payable or general accounting experience, with full-cycle AP experience strongly preferred
• Solid understanding of 3-way matching, GL coding, and AP internal controls
• Experience with accounting systems; familiarity with QuickBooks and Ramp is a plus
• Proficiency in managing vendor relationships and resolving discrepancies independently
• Strong organizational skills with close attention to detail and a low tolerance for errors
• Clear, professional communication skills — comfortable working across vendors, employees, and finance leadership
• Ability to manage multiple priorities in a fast-paced, high-growth environment
• Experience with 1099 preparation and W-9/W-8BEN compliance preferred
• Genuine enthusiasm for pets, people, and contributing to a meaningful mission
