  • • As an Accounts Payable Specialist, you will play a pivotal role in the financial operations of our rapidly growing organization. This is a critical position that ensures the accuracy, efficiency, and integrity of our accounts payable processes, directly contributing to our financial health and operational smoothness. You will be instrumental in managing the end-to-end accounts payable cycle, from invoice processing and vendor management to payment execution and reconciliation.
  • • Your primary responsibility will be to meticulously process a high volume of invoices, ensuring all documentation is complete, accurate, and compliant with company policies and procedures. This includes verifying purchase orders, receiving reports, and other supporting documents to confirm the validity of charges before approval and payment.
  • • You will be the primary point of contact for our vendors, building and maintaining strong, professional relationships. This involves promptly addressing vendor inquiries, resolving discrepancies, and ensuring timely communication regarding payment status and any outstanding issues. Your ability to communicate effectively and professionally will be key to fostering positive vendor partnerships.
  • • A significant part of your role will involve managing the vendor master file, ensuring all vendor information is up-to-date, accurate, and securely stored. This includes onboarding new vendors, collecting necessary documentation (such as W-9s or equivalent), and maintaining compliance with tax regulations.
  • • You will be responsible for preparing and processing weekly or bi-weekly payment runs, utilizing various payment methods such as checks, ACH, and wire transfers. This requires a keen eye for detail to ensure payments are made accurately and on time, avoiding late fees and maintaining good vendor credit.
  • • Reconciling vendor statements and identifying any discrepancies or unrecorded transactions will be a regular duty. You will investigate and resolve these differences promptly, ensuring that our accounts payable ledger accurately reflects all outstanding liabilities.
  • • You will assist in the month-end and year-end closing processes by preparing accruals, reconciling AP sub-ledgers to the general ledger, and providing supporting documentation for audits. Your contribution to these closing activities will be vital for accurate financial reporting.
  • • Proactively identify opportunities for process improvements within the accounts payable function. This could involve suggesting new technologies, streamlining workflows, or implementing best practices to enhance efficiency, reduce costs, and improve accuracy.
  • • Collaborate closely with other members of the finance and accounting team, as well as cross-functional departments, to ensure seamless financial operations and provide support where needed. This includes working with the procurement team to ensure proper invoice matching and approval workflows.
  • • Maintain a strong understanding of accounting principles and accounts payable best practices. You will stay informed about relevant regulations and compliance requirements.
  • • Utilize accounting software and other financial tools to manage AP tasks efficiently. Proficiency in these systems is essential for success in this role.
