• • As an Accounts Receivable & Payable Specialist within the dynamic aesthetics and medical sector, you will be instrumental in ensuring the financial health and operational efficiency of a rapidly expanding global company. You will be the cornerstone of our daily accounting operations, meticulously managing both incoming payments from clients and outgoing payments to vendors, ensuring every transaction is recorded with precision and timeliness.
• • Your primary responsibility will involve the accurate and punctual processing of all vendor payments and customer receipts. This includes verifying invoice details, ensuring proper authorization, and executing payments through designated channels. Simultaneously, you will manage the inflow of customer payments, applying them correctly to outstanding invoices and maintaining up-to-date customer accounts. This dual focus on AP and AR is critical for maintaining healthy cash flow and strong vendor and customer relationships.
• • A significant aspect of this role is the seamless transfer and reconciliation of invoice data between our integrated Enterprise Resource Planning (ERP) system and QuickBooks Online (QBO). You will be responsible for ensuring data integrity and consistency across both platforms, identifying and resolving any discrepancies that may arise during the transfer process. This requires a deep understanding of how these systems interact and a meticulous approach to data management.
• • You will actively monitor the accounts receivable aging report, proactively identifying overdue balances. Your role will involve initiating timely follow-ups with customers regarding outstanding payments, employing professional and effective communication strategies to encourage prompt settlement. This includes addressing any billing questions, processing credit memos, and resolving payment disputes in a fair and efficient manner, thereby minimizing bad debt and optimizing collection rates.
• • Performing regular bank and ledger reconciliations is a core duty. You will meticulously compare bank statements with internal accounting records, investigating and resolving any variances to ensure the accuracy of our financial statements. This includes reconciling various accounts, such as cash, accounts receivable, accounts payable, and credit card accounts.
• • You will play a supportive role in the month-end close process, ensuring all financial data is accurate and complete before closing the books. This may involve preparing journal entries, reconciling balance sheet accounts, and assisting with the preparation of financial reports. Your contributions will be vital for providing management with timely and reliable financial insights.
• • A key objective of this position is to identify opportunities for process improvements within the AP/AR functions. You will proactively analyze existing workflows, suggest and implement enhancements to increase efficiency, reduce errors, and improve overall accounting operations. This includes leveraging technology and best practices to streamline processes.
