- • Support legal and people operations teams with administrative and operational tasks to ensure seamless daily functioning.
- • Manage scheduling and coordination for meetings, interviews, and events involving legal and HR leadership across multiple time zones.
- • Maintain and update confidential personnel files, legal documentation, and compliance records in alignment with company policies and regulatory requirements.
- • Serve as the primary point of contact for internal employees regarding HR and legal administrative inquiries, providing timely and accurate responses.
- • Coordinate onboarding and offboarding processes for new and departing employees, including documentation preparation, equipment provisioning, and system access management.
- • Assist in the preparation and distribution of HR communications, policy updates, and legal notices to employees and leadership teams.
- • Track and organize key HR and legal deadlines, including contract renewals, compliance filings, and benefit enrollment periods.
- • Prepare and format legal documents, employment agreements, NDAs, and internal memos with attention to detail and confidentiality.
- • Support recruitment efforts by coordinating interview logistics, scheduling candidate assessments, and maintaining applicant tracking system records.
- • Manage travel arrangements, expense reports, and vendor relationships for the legal and people teams.
- • Collaborate with cross-functional teams to ensure alignment on HR and legal initiatives, including policy rollouts and employee engagement programs.
- • Maintain office supplies and equipment for the legal and HR departments, ensuring operational readiness.
- • Assist in the planning and execution of company-wide events, including town halls, training sessions, and team-building activities.
- • Ensure all administrative processes adhere to SOC 2, GDPR, or other relevant data privacy and security standards.
- • Proactively identify inefficiencies in administrative workflows and propose improvements to enhance team productivity.
- • Maintain strict confidentiality regarding sensitive employee, legal, and corporate information at all times.
- • Provide ad hoc support to legal counsel and HR leadership on special projects, including audits, investigations, or compliance reviews.
- • Act as a liaison between internal teams and external vendors, including insurance providers, background check services, and legal service providers.
- • Utilize HRIS, ATS, and document management systems to maintain accurate and up-to-date records across platforms.
