- • Serve as the operational backbone for a faith-based organization with a high-volume campus environment, managing the Master Calendar to ensure accurate scheduling of worship experiences, community events, and facility rentals
- • Complete the weekly Calendar Audit Checklist to verify accuracy, identify scheduling conflicts, and maintain alignment across all internal and external events
- • Coordinate scheduling for on-campus meetings, prepare leadership meeting rooms, and manage all calendar-related communications using approved protocols
- • Monitor and respond to all incoming emails—including junk/spam folders—for messages received prior to 4PM local time, using branded template emails as specified in the Brand Guide
- • Answer phone extensions professionally, respond to voicemails within the same business day, and send email confirmations to upline upon completion of inbox tasks
- • Check in all campus guests during office hours by collecting photo ID, issuing visitor badges, logging visits in iCal with reason and expected duration, and managing check-out procedures
- • Ensure campus facilities are unlocked and rooms are opened at designated times per the Administrative Office Prep Checklist
- • Conduct weekly facility audits using the Cleaning Audit Checklist and remediate issues to uphold campus standards
- • Coordinate all facility rental inquiries using the designated Event Response Email, finalize event preparations, and ensure adherence to approved worship and event flows
- • Complete and submit the Worship Experience Flow & Elements Checklist to leadership for review each week
- • Execute the Administrative Office Checklist at the start and end of each workday
- • Receive, unseal, and route all incoming mail and packages to appropriate recipients, notifying them via email
- • Maintain and update the Vendor Password List, door codes, and device access credentials to ensure consistent and secure access
- • Print and coordinate distribution of Baptism and Child Dedication certificates, managing signature collection and pickup logistics
- • Submit timesheets to upline by 1PM EDT on applicable payroll weeks
- • Audit for no-call/no-show (NCNS) team members after worship experiences, events, and gatherings, and submit results to leadership for action
- • Partially and fully complete the AOC Agenda on a rolling weekly schedule (Mondays, Tuesdays, and Wednesdays)
- • Work remotely during U.S. business hours (9AM – 5PM EST) to support U.S.-based clients and leadership
- • Operate within defined systems and standard operating procedures with precision, consistency, and zero tolerance for errors
- • Maintain discretion and professionalism when handling sensitive organizational information, access credentials, and personal data
- • Collaborate closely with the Executive Pastor and internal leadership to ensure daily, weekly, and event-based operations run seamlessly
- • Thrive in a structured, process-driven environment where attention to detail directly impacts the effectiveness of a vibrant campus community
🎯 Requirements
- • 2+ years of experience in an administrative, office coordinator, or operations support role
- • Demonstrated experience managing complex calendars and scheduling across multiple stakeholders
- • Proficiency with Google Workspace (Gmail, Google Calendar, Google Docs) and standard office software
- • Prior experience coordinating events, facility usage, or vendor interactions in a professional setting
- • Strong written and verbal communication skills with professional, warm tone
- • Ability to work independently in a fully remote environment with minimal supervision
