- • Build and maintain strong working relationships across Real Estate & Workplace (REW) teams including Events, Design & Construction, Food, Security, Facilities, and Workplace Operations to align transportation initiatives with broader workplace planning.
- • Partner with cross-functional teams throughout OpenAI to identify transportation-related needs, coordinate actionable next steps, and ensure transportation considerations are integrated into office openings, moves, and workplace changes.
- • Represent the Transportation team in meetings, planning sessions, and cross-functional initiatives, serving as the primary point of contact for transportation program coordination.
- • Gather, synthesize, and clearly summarize employee and stakeholder feedback on transportation programs, routing inquiries to the appropriate owners, resources, or processes with precision and timeliness.
- • Track open action items, deadlines, and priorities across multiple stakeholders to ensure consistent follow-through and timely resolution of transportation-related issues.
- • Support internal team operations by maintaining trackers, documentation, meeting notes, timelines, and action item lists to enhance organizational clarity and accountability.
- • Help design and sustain recurring business rhythms, project milestones, and readiness activities tied to workplace transitions, including office relocations and regional expansions.
- • Draft clear, concise internal communications including updates, FAQs, and guidance materials to educate employees and partners on transportation programs, policies, and available tools.
- • Improve internal operational processes to increase responsiveness, scalability, and efficiency of the Transportation team as OpenAI grows across global offices.
- • Support transportation program execution by traveling at least 1-2 times per quarter to assist with needs in APAC, LATAM, and EMEA regions.
- • Ensure transportation planning reflects employee experience goals, safety standards, and reliability requirements across all company locations.
- • Act as a trusted operational partner to internal stakeholders, navigating sensitive or complex situations with sound judgment, curiosity, and a solutions-oriented approach.
- • Utilize project management tools, spreadsheets, and workflow systems to create structure, visibility, and momentum for transportation initiatives.
- • Contribute to a workplace culture that values operational excellence, clear communication, and employee-centric service delivery.
🎯 Requirements
- • 4+ years of experience in business operations, workplace operations, program coordination, employee experience, or similar roles.
- • Strong written and verbal communication skills with the ability to summarize complex or nuanced topics clearly.
- • Highly organized, detail-oriented, and able to manage multiple priorities while following through reliably.
- • Experience working in workplace, hospitality, real estate, operations, internal service environments, or cross-functional programs.
- • Comfort using project management tools, spreadsheets, and workflow systems to create clarity and momentum.
- • Ability to travel at least 1-2 times per quarter to support transportation needs across APAC, LATAM, and EMEA.
