  • Emotainizio Engage Private Limited, trading as Emota, is seeking a meticulous and proactive Client Finance Co-ordinator to join our team on a part-time basis. This pivotal role, based in our Ashby-de-la-Zouch office, offers a unique opportunity to manage the financial lifecycle of client projects, ensuring seamless execution from inception to completion. Reporting directly to the Project Director, you will be instrumental in maintaining financial accuracy, fostering strong client relationships, and upholding the highest standards of compliance and operational efficiency. This is a hybrid role, requiring two days per week in the office and offering the flexibility of remote work for the third day, catering to a balanced work-life approach.
  • As a Client Finance Co-ordinator, your primary responsibility will be the comprehensive management of financial processes for our diverse client projects. This involves the accurate and timely set-up of new projects within our finance system, ensuring all project details, budgets, and contractual terms are correctly configured. You will be responsible for maintaining these project records throughout their lifecycle, implementing any necessary updates or amendments with precision.
  • A key aspect of your role will be the diligent tracking and reconciliation of project costs. You will ensure that all expenditures are accurately recorded against the relevant project and event, working closely with the credit control team to follow up on outstanding client invoice payments. This proactive approach is crucial for maintaining healthy cash flow and facilitating the timely closure of completed projects. You will also be tasked with monitoring client Purchase Order (PO) statuses, ensuring they are received within agreed timelines and that projects are promptly moved to contracted status upon their receipt. Contracts will need to be accurately set up on the financial system, preparing them for invoicing.
  • Accuracy and compliance are paramount. You will meticulously check client POs for accuracy upon receipt and ensure they are stored in the designated location within the system. A significant part of your role involves reviewing the financial system against budget and final reconciliation figures, ensuring the integrity and accuracy of financial data to support reliable reporting. You will regularly review project job statuses and cash flow for all events managed by the team, including the generation of deposit invoices and post-event invoicing or credit notes.
  • You will be accountable for conducting financial health checks for all assigned events, providing insights into their financial standing. Furthermore, you will review the ageing of specific client accounts, ensuring that these figures reconcile and are appropriately reported as part of the project closure process. Adherence to relevant approval procedures by the team will be monitored, and you will ensure that client-specific financial Standard Operating Procedures (SOPs) and templates are consistently followed and remain effective.
  • Supporting the tracking and adherence to client Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) related to finance will be a core function. You will also assist with data extraction requirements for client needs, such as preparing for Quarterly Business Reviews (QBRs), and be responsible for raising and tracking commission claims.
  • Effective client communication is vital. You will provide monthly reports to clients detailing the status of payments and act as the primary point of contact for resolving financial queries. Building and maintaining strong relationships with client finance stakeholders will be essential for smooth project delivery and client satisfaction.
  • In addition to your core financial duties, you will contribute to team and financial meetings, offering insights and support. You will assist project teams by addressing their finance-related queries, proactively seeking answers when necessary. Ensuring compliance with all company and client policies and procedures is non-negotiable. Demonstrating an understanding of clients' businesses and products will enable you to provide more tailored and effective financial support.
  • You will play a role in onboarding new team members by conducting finance training, covering both Emota's internal processes and client-specific procedures.
