Full Job Description
đź“‹ Description
- • Be the nerve-center of a landmark water project that will secure sustainable water supply for thousands of Australian households. As Document Controller at ACCIONA’s Malabar Project Office, you will safeguard the integrity of every drawing, specification, contract, and correspondence that keeps this critical infrastructure build on track, on budget, and fully compliant.
- • Own the end-to-end lifecycle of project documentation—from initial receipt and registration through controlled distribution, transmittal, and archival—ensuring every stakeholder (engineers, site teams, subcontractors, clients, regulators) is working from the latest, approved revision at all times.
- • Administer and continuously improve the Document Control & Documentation Management Plan, translating high-level policy into daily workflows that eliminate version confusion, reduce rework, and protect the project from costly delays or non-conformance claims.
- • Operate TeamBinder as the single source of truth: configure folder structures, metadata, and user permissions; schedule automated workflows; and generate real-time dashboards that give project leadership instant visibility into document status, overdue actions, and audit readiness.
- • Conduct weekly audits and self-checks across all project disciplines, identifying gaps, correcting misfiled records, and coaching engineers and package leads on best-practice naming conventions, revision rules, and approval gates.
- • Partner with the Quality, HSE, and Commercial teams to embed document control checkpoints into procurement, design review, and site inspection processes—turning document control from a back-office function into a proactive risk-management tool.
- • Produce monthly KPI reports (submission on-time rates, review turnaround times, non-conformance trends) and present findings to the Project Leadership Team, driving data-based decisions that continuously raise the bar for project excellence.
- • Contribute to the development of new control checks and procedures—drawing on your frontline insights to refine templates, automate repetitive tasks, and standardise handover deliverables so that every ACCIONA water project benefits from the lessons learned on Malabar.
- • Serve as the first point of contact for all document-related queries from subcontractors and suppliers, offering clear guidance and rapid issue resolution that keeps external partners aligned with ACCIONA’s rigorous standards.
- • Champion a culture of accuracy and accountability: deliver short training sessions at toolbox talks, create quick-reference guides, and celebrate “zero-defect” milestones that reinforce the value of disciplined document management.
- • Support final project close-out by compiling and indexing the complete as-built dossier—ensuring seamless handover to the client, smooth transition to operations, and a defensible audit trail for decades to come.
- • Join a Top Employer-certified organisation that has been recognised four years running for exceptional people practices. Your career path doesn’t stop at Document Controller—ACCIONA’s global footprint and diverse project portfolio open doors to roles in project controls, quality management, digital transformation, and beyond.
