  • • As an Associate Event Coordinator at iCapital Network LLC in Lisbon, you will play a vital role in supporting the global Events team to deliver high-impact proprietary events, sponsorship activations, and venue research across U.S. and international markets, contributing directly to the firm’s mission of transforming access to alternative investments worldwide.
  • • You will gain hands-on experience working closely with U.S.-based event leads on large-scale, high-profile events, building foundational expertise in end-to-end event operations within a dynamic, global fintech environment.
  • • Support event operations and logistics for client, conference, and internal events, including managing timelines, attendee lists, budgets, and calendars to ensure seamless execution from planning to post-event follow-up.
  • • Assist with third-party sponsorship activations and conference execution by coordinating with external partners, managing deliverables, and ensuring brand alignment and onsite success.
  • • Conduct comprehensive event venue research across global markets, evaluating locations based on capacity, accessibility, cost, and suitability for various event types and audiences.
  • • Help manage vendor relationships, coordinate supplies and shipments, and oversee onsite materials logistics to ensure all event elements are delivered accurately and on time.
  • • Support onsite execution when needed, including registration desk management, presentation setup, attendee flow, and real-time troubleshooting to maintain a professional and engaging experience.
  • • Assist with hotel, travel, and ground transportation coordination for speakers, attendees, and staff, leveraging tools and processes to optimize comfort, cost, and timeliness.
  • • Track expenses, support invoice processing, and aid in reconciliation efforts to maintain financial accuracy and compliance with company policies.
  • • Work within a collaborative, growing global team that values innovation and inclusivity, operating under a hybrid model (3 days in office, 2 days remote) in Lisbon while supporting U.S.-centric event schedules requiring occasional flexibility in hours.
  • • Develop practical skills in event technology platforms (such as CVENT), budget management, cross-time-zone coordination, and stakeholder communication, positioning yourself for advancement in event management, marketing, or operations roles.
  • • Gain exposure to the inner workings of a global fintech leader, learning how strategic events drive client engagement, brand visibility, and business development in the alternative investments sector.

🎯 Requirements

  • • 3-5 years of experience in events, marketing, hospitality, or coordination roles
  • • Strong organizational skills and attention to detail
  • • Clear, professional communicator (written and verbal)
  • • Team player who can also work independently
  • • Interest in global events and learning end-to-end event operations
  • • Exposure to CVENT or similar tools is a plus (or willingness to learn)
