- • Manage high-profile enterprise events end to end, including workstreams, registration, guest experience, catering, and onsite production.
- • Build and maintain detailed project timelines tracking milestones, deliverables, dependencies, and deadlines for all event components.
- • Source, negotiate with, and coordinate vendors including catering, AV, and creative production teams to ensure quality and alignment with brand standards.
- • Own all attendee registration, check-in processes, and pre- and post-event communications to ensure seamless guest journeys.
- • Track budgets, invoices, and expenditures with meticulous financial records, ensuring spend remains within allocated targets.
- • Coordinate cross-functionally with design, procurement, security, and internal stakeholders to align event execution with strategic goals and brand guidelines.
- • Implement and enforce safety and security protocols to protect attendee well-being and meet all compliance expectations.
- • Analyze event metrics, attendee feedback, and key learnings to improve future events and measure return on investment.
- • Operate confidently with event software systems such as Airtable, Luma, Swoogo, and Google Sheets to manage logistics and data.
- • Maintain a detail-heavy approach to planning and execution in a fast-paced environment with high stakes and tight deadlines.
- • Ensure front-of-house operations are executed gracefully under pressure, delivering exceptional guest experiences at high-profile corporate events.
- • Demonstrate strong ownership of all event phases—from initial planning through post-event reporting and continuous improvement.
- • Support OpenAI’s mission by showcasing AI technology through impactful, well-executed event experiences that reflect the company’s values.
- • Be based in San Francisco, CA, and work in the office three days per week as required.
🎯 Requirements
- • 4+ years of event production experience across end-to-end planning, onsite execution, and post-event analysis.
- • Strong ownership of guest experience, front-of-house operations, and vendor coordination for high-profile corporate events.
- • Comfort working in a fast-paced, detail-heavy environment with meticulous planning and creative problem-solving.
- • Tech-savvy operator fluent in Mac and event software systems such as Airtable, Luma, Swoogo, Google Sheets, or similar tools.
- • Passion for OpenAI's mission and excitement about showcasing AI technology through impactful event experiences.
