- • Perform daily and weekly checks to ensure automations and data imports are functioning correctly, logging and flagging any anomalies or failures
- • Apply routine website content updates using copy-paste methods on a custom PHP/HTML backend, with no coding required
- • Monitor and maintain marketing material stock levels across warehouse and office locations through phone and email coordination
- • Serve as a communication liaison by checking in with internal team members on behalf of the company owner and relaying urgent or important items requiring his attention
- • Handle general administrative tasks using Google Workspace, including Docs, Sheets, and Gmail
- • Manage the company’s general inbox (info@) by sorting, forwarding inquiries to appropriate departments, and sending holding or clarification replies as needed
- • Act as the first point of contact for inbound inquiries, distinguishing between buy-side and sell-side contacts and routing them accordingly
- • Support the owner’s calendar management, including scheduling, rescheduling, and coordinating meetings
- • Maintain consistency and follow-through on all assigned tasks to prevent small details from being overlooked
- • Work independently with minimal supervision, taking initiative to identify and resolve routine operational gaps
- • Adapt quickly to new tools and systems, demonstrating comfort with digital platforms and online workflows
- • Maintain professional written English in all email correspondence with internal teams and external contacts
- • Be reliably available during EST business hours, with a start time approximately at 9am (to be confirmed)
- • Demonstrate a long-term mindset, prioritizing loyalty and stability over short-term engagements
- • Contribute to the growth of the role from part-time (20 hours/week) to full-time (40 hours/week) as trust and performance are established
- • Support the owner’s day-to-day operations by ensuring organizational clarity, timely communication, and operational continuity
- • Maintain accurate records and documentation for all administrative and communication activities
- • Proactively identify areas where processes can be streamlined or improved through consistent observation and reporting
- • Uphold confidentiality and professionalism in handling sensitive business information and communications
- • Collaborate with existing virtual assistants across specialized functions to ensure seamless operational support
