📋 Description
- • Serve as the primary administrative support for the CTO and CPO, managing complex calendars, scheduling high-priority meetings, and ensuring seamless coordination across both Technology and People functions.
- • Act as the key point of contact for internal and external stakeholders, professionally managing inquiries and escalating matters with appropriate urgency and discretion.
- • Coordinate end-to-end preparation for executive-level meetings, including drafting agendas, compiling briefing materials, creating presentations, and tracking follow-up actions to ensure clear outcomes.
- • Proactively anticipate executive needs by identifying potential scheduling conflicts, logistical challenges, or information gaps before they arise, and implement solutions in advance.
- • Oversee all administrative tasks including document management, inbox prioritization, correspondence drafting on behalf of executives, and maintaining strict confidentiality of sensitive information.
- • Manage expense reporting and reimbursement processes with precision, ensuring compliance and timely processing of all financial requests related to executive activities.
- • Lead cross-functional project coordination initiatives aligned with executive priorities, tracking milestones, facilitating communication between teams, and delivering progress updates with clarity.
- • Demonstrate exceptional organizational skills by juggling multiple high-stakes workstreams simultaneously, maintaining accuracy under tight deadlines in a fast-paced scale-up environment.
- • Utilize AI tools and productivity software to optimize workflows, enhance efficiency, and streamline administrative processes across executive support functions.
- • Maintain the highest standards of professionalism, composure, and integrity when interacting with senior leaders, board members, and external partners.
- • Communicate with clarity and precision in both written and verbal formats, crafting polished emails, reports, and presentations that reflect executive standards.
- • Adapt swiftly to shifting priorities, remain calm under pressure, and consistently deliver high-quality output even during periods of rapid growth or organizational change.
- • Foster a positive, solutions-driven culture by bringing energy and optimism to the team, learning from setbacks, and continuously improving processes.
- • Support the CPO with People-related initiatives while embedded in the Technology function, gaining exposure to both executive domains and contributing to strategic alignment between them.
- • Ensure all executive communications, travel arrangements, and event logistics are executed flawlessly, with attention to detail and cultural awareness across global teams.
- • Maintain up-to-date knowledge of company operations, product offerings, and strategic goals to provide informed, context-aware support to executives.
