- • Support the CEO and future executives by strategically protecting their time, eliminating inefficiencies, and reducing context switches across a fast-paced startup environment.
- • Manage a complex, multi-time-zone calendar for the CEO, prioritizing high-impact activities and deprioritizing low-value meetings without requiring escalation.
- • Identify and remove time leakage by canceling unnecessary meetings, shortening existing ones, and batching similar tasks to maximize deep work blocks.
- • Serve as the primary gatekeeper and front door for all external communications to the CEO, triaging inbound requests from customers, investors, partners, and candidates with urgency and discretion.
- • Draft, edit, and send emails on behalf of the CEO, ensuring tone, timing, and content align with executive intent and company priorities.
- • Triage sensitive communications—including fundraising, board updates, hiring discussions, and customer issues—with absolute confidentiality and judgment.
- • Plan and coordinate all domestic and occasional international travel, including flights, accommodations, ground transportation, agendas, and expense reconciliation for the CEO and executives.
- • Coordinate travel to customer sites, including jobsites, regional AEC offices, and industry events such as AIA, ENR conferences, and AEC tech summits.
- • Organize and execute offsites, executive dinners, and customer visits in San Diego and on the road, ensuring seamless logistics and meaningful outcomes.
- • Handle personal administrative tasks for executives to remove life distractions, enabling them to focus fully on company priorities.
- • Anticipate needs before they are voiced—recognizing when an executive requires unscheduled thinking time or when a personal issue is impacting work performance.
- • Build and implement automations and workflows using existing tools (Google Workspace, Slack) to streamline repetitive tasks and improve operational efficiency.
- • Occasionally own discrete cross-functional projects end-to-end, such as closing vendor contracts, supporting recruiting initiatives, or coordinating HR-related logistics.
- • Maintain a calendar that reflects true strategic priorities, not just the loudest voices, ensuring alignment with company goals and executive focus areas.
- • Operate in a hybrid model: present in-office enough to build team rapport and understand company culture, while retaining autonomy over focused work time.
- • Demonstrate exceptional written communication skills, with the ability to convey tone, urgency, and nuance in every message sent on behalf of leadership.
- • Show deep familiarity with startup environments, where ambiguity is common and processes must be created from scratch.
- • Exhibit a proactive mindset: bring problems with proposed solutions, over-communicate status, and never allow anything to fall through the cracks.
- • Cultivate curiosity about the architecture, engineering, and construction (AEC) industry, including how projects are bid, won, and delivered, and be willing to learn its unique workflows and terminology.
- • Maintain discretion with highly sensitive information, including financial data, board communications, and confidential hiring decisions.
- • Adapt quickly to new tools and systems, embracing change as a constant in a rapidly scaling AI startup.
🎯 Requirements
- • 3-5+ years of experience supporting founders or senior executives, preferably in a startup or fast-moving tech environment
- • Proven ability to manage complex calendars across multiple time zones and prioritize competing demands without escalation
- • Experience planning and executing domestic and international travel, including handling last-minute changes and logistics on the ground
- • Exceptional written communication skills with the ability to draft and send emails on behalf of executives
- • Demonstrated discretion and reliability in handling confidential information
- • Proficiency in Google Workspace, Slack, and willingness to rapidly adopt new tools
