📋 Description

• You will be the operational backbone for Bioscope 20Ai’s medical leadership, ensuring that physicians, researchers, and scientific advisors can focus on breakthrough innovation while you orchestrate the day-to-day machinery that keeps them moving. From the moment you open your laptop, you’ll triage calendars that span time zones, coordinate critical meetings with university partners, and make sure the next breakthrough advisory is printed, annotated, and ready for review.
• Calendar & Meeting Mastery: Own the complex, ever-shifting calendars of multiple medical leaders. Anticipate conflicts, propose elegant solutions, and secure the right rooms, video links, or off-site venues. Build agendas that turn 30-minute touchpoints into decisive action sessions, capture real-time notes, and convert decisions into Jira tickets, Slack threads, or polished follow-up emails before anyone has left the room.
• Travel & Event Orchestration: Arrange domestic and international travel for physicians attending conferences, advisory boards, or regulatory briefings. You’ll secure red-eye flights that still allow for a morning keynote, book boutique hotels within walking distance of the venue, and create minute-by-minute itineraries that include dietary preferences, ground transport, and backup plans for weather delays. Post-trip, reconcile expenses down to the last rideshare receipt.
• Scientific Workflow Support: Sit side-by-side (virtually or in person) with medical advisors as they draft clinical advisories, review FDA briefing documents, or annotate AI model validation reports. You’ll format manuscripts to journal standards, version-control slide decks, and maintain a living knowledge base in Notion or Google Drive so that the next researcher can find the 2023 cardiology dataset in under 30 seconds.
• Cross-Functional Conductor: Translate dense medical insights into crisp briefs for product managers, translate engineering timelines into language a cardiologist can trust, and ensure that the partnership team has the right data-room index before a due-diligence call. You’ll be the human API that keeps clinicians, engineers, and business leaders in sync.
• Confidentiality & Discretion: Handle pre-publication research, unpublished AI algorithms, and sensitive patient data with the same care you’d give a classified dossier. You’ll set up secure file shares, redact documents for external eyes, and remind a roomful of VPs when a conversation has drifted into NDA territory.
• Process Architect: Spot chaos and build structure. Whether it’s a Slack channel that’s become a graveyard of unanswered questions or a spreadsheet that’s grown 47 tabs deep, you’ll design lightweight systems—automated intake forms, Kanban boards, naming conventions—that scale without bureaucracy.
• Culture Carrier: Bring calm, upbeat energy to a team that’s sprinting toward FDA submissions and product launches. Celebrate wins (a successful IRB approval deserves cupcakes), surface blockers before they become fires, and make every new hire feel like they’ve known you for years.
• Impact Amplifier: Your behind-the-scenes excellence will directly accelerate the deployment of AI tools that help clinicians detect disease earlier and treat patients more effectively. When a physician saves an extra 20 minutes per patient because the workflow you optimized eliminated redundant clicks, you’ll know you helped save lives—one calendar invite at a time.

🎯 Requirements

• 3+ years supporting C-suite or senior leaders in healthtech, biotech, medical, or high-growth tech environments
• Demonstrated comfort reading, formatting, and proofing medical or scientific documents (clinical protocols, IRB submissions, journal manuscripts)
• Exceptional written and verbal communication—able to distill complex topics into concise, polished emails, briefs, and slide annotations
• Proven ability to juggle multiple high-priority projects simultaneously while maintaining meticulous attention to detail
• High discretion and proven track record handling confidential information (patient data, unpublished research, M&A materials)
