- • Executive Assistant / Operations & Admin VA role supporting a VP of Operations & Finance at a fast-growing company, blending executive assistance, operations support, and light finance/admin coordination to streamline workflows and reduce bottlenecks.
- • Day-to-day responsibilities include digitizing and organizing documents in Google Drive, maintaining structured filing systems, managing inbox with folders/labels/automations, tracking corporate credit card expenses, matching receipts, preparing expense reports, supporting construction project coordination, tracking invoices, maintaining budget files, managing personal and professional calendars to prevent double bookings, scheduling meetings/appointments, booking personal appointments, and providing general executive support such as task prioritization and ad hoc admin duties.
- • The team operates in a dynamic, fast-moving environment where the VA acts as a true right-hand support to a senior executive, helping bring order to chaos and improve operational efficiency through proactive ownership and detail-oriented execution.
- • The person in this role can develop advanced organizational and systems-thinking skills, gain exposure to light finance and bookkeeping practices, strengthen executive support capabilities, and grow into a trusted operations partner by mastering workflow optimization, calendar intelligence, and cross-functional coordination in a scaling business.
🎯 Requirements
- • 3+ years experience as a VA / EA / Operations Assistant
- • Strong organizational skills (borderline OCD in a good way)
- • Proactive and independent (doesn’t wait to be told everything)
- • Comfortable supporting senior-level executives
- • Strong attention to detail
- • Able to handle both structured and unstructured environments
