  • • Prime Therapeutics LLC is seeking a dedicated and highly organized Executive Assistant to provide comprehensive administrative support to one or more members of the Executive Leadership Team (ELT). This remote position is crucial in ensuring the smooth and efficient operation of executive functions, acting as the primary point of contact and gatekeeper for assigned leaders.
  • • The core responsibility involves meticulous calendar management, including the intake, prioritization, and scheduling of new meeting requests. You will be instrumental in ensuring executives adhere to their schedules, facilitating seamless transitions between appointments and meetings, and proactively managing potential conflicts.
  • • A significant aspect of the role includes coordinating complex domestic and international travel arrangements. This entails securing appropriate lodging, transportation services, and other necessary accommodations. You may also be involved in negotiating rates and contracting with vendors to ensure cost-effectiveness and optimal service delivery for Prime Therapeutics.
  • • You will be responsible for the planning and coordination of large-scale or sensitive team meetings and conferences, which may extend beyond the immediate executive functions. This includes ensuring that facilities, technology, and essential materials or handouts are prepared well in advance and distributed effectively to all participants.
  • • This role requires the ability to document, maintain, and enforce company policies and procedures related to business operations. You will serve as the initial point of contact for inquiries regarding these policies, guiding individuals to the appropriate resources or routing requests for review, signature, or decision-making by the assigned executive.
  • • Beyond routine administrative tasks, you will support executives with a variety of special projects. This can encompass preparing high-level presentations, compiling meeting materials, managing onboarding and offboarding processes for team members, coordinating printing services, administering recognition programs, ordering necessary supplies, maintaining accurate records, and organizing significant site events.
  • • You will work both independently and collaboratively on special, non-recurring, or ongoing projects as directed by the ELT member. This includes planning and coordinating presentations, disseminating critical information, following up with cross-functional participants, drafting general correspondence, memos, charts, tables, and graphs, and meticulously proofreading and editing all copy for spelling, grammar, and formatting accuracy.
  • • A key function will be collaborating with various stakeholders across the enterprise to create essential materials for Board of Directors and committee meetings, ensuring accuracy and adherence to executive standards.
  • • Developing and maintaining strong business connections, both internally and externally, is vital. You will handle highly sensitive and confidential information with the utmost discretion and professionalism.
  • • You will be responsible for accurately capturing and distributing meeting minutes for executive leadership, management, and committee meetings, ensuring clear and concise documentation of decisions and action items.
  • • Tracking and processing invoices and expenses on behalf of the assigned executive will be a regular duty, requiring attention to detail and adherence to financial procedures.
