📋 Description

• Serve as a strategic extension of the CEO to manage priorities, key initiatives, and executive-level operational demands.
• Proactively anticipate challenges and propose solutions to keep strategic initiatives moving forward with minimal oversight.
• Independently own and execute end-to-end projects across operations, sales, customer support, and leadership teams.
• Coordinate cross-functional initiatives, track timelines, deliverables, and ensure accountability for all action items.
• Conduct in-depth research on software platforms, vendors, partnerships, hiring strategies, and operational improvements to support executive decision-making.
• Present clear, actionable recommendations to leadership based on research findings and data-driven analysis.
• Step into operational gaps across the organization to optimize workflows, resolve bottlenecks, and improve day-to-day efficiency.
• Coordinate communication between departments and stakeholders to ensure alignment and timely execution.
• Manage executive scheduling, meetings, travel arrangements, inbox prioritization, and follow-up activities.
• Handle ad hoc administrative and operational requests with precision and urgency.
• Leverage AI tools to automate repetitive tasks, build scalable workflows, and enhance productivity across the organization.
• Identify opportunities to improve business processes through automation, AI integration, and systematization.
• Maintain high standards of organization, attention to detail, and follow-through in all responsibilities.
• Work directly with senior leadership to support strategic growth initiatives in a fast-paced, lean, high-performance environment.
• Operate with ownership and accountability, contributing meaningfully without layers of bureaucracy.
• Adapt to the demands of supporting U.S.-based clients by working core hours aligned with PST (9:00 AM – 5:00 PM PST).
• Contribute to measurable operational efficiencies through process improvements and AI-driven solutions.
• Gain exposure to all areas of a growing 8-figure eCommerce and B2B organization with direct access to executive leadership.

🎯 Requirements

• 3+ years of experience in operations, project management, executive support, or business operations
• Experience supporting senior leadership or business owners
• Proven ability to manage multiple projects simultaneously
• Experience coordinating cross-functional initiatives
• Experience conducting business research and supporting strategic initiatives
• Experience improving operational processes and workflows
