We are seeking a highly self-sufficient individual contributor to serve as the primary Go-To-Market (GTM) Systems Administrator. This pivotal role will be responsible for owning and managing EasyLlama's critical GTM technology stack, including HubSpot (CRM), Gong, PandaDoc, Dialpad, Lucia (data enrichment), LlamaVisor (internal customer data backend), Sendspark, and all associated integrations and automation.
  • • This is a dynamic, cross-functional position that blends technical systems administration with product operations partnership, vendor management, comprehensive documentation, and end-user enablement. The ideal candidate will be comfortable taking ownership of projects from inception through completion, demonstrating a proactive and results-oriented approach.
  • • Key responsibilities will encompass platform administration, where you will make strategic decisions regarding the optimal tech stack to enhance GTM efficiency across EasyLlama. This includes deep administration of HubSpot, managing users, permissions, properties, pipelines, deals, the contact and company data model, workflows, lists, templates, and reporting.
  • • You will also manage Gong, overseeing user access, workspace configuration, and its integration with HubSpot, Dialpad, and the lifecycle of recording insights. For PandaDoc, responsibilities include managing templates, the contract lifecycle, eSignature workflows, and the linkage with HubSpot.
  • • Maintenance of Dialpad will involve phone provisioning, call routing, logging, and ensuring accurate HubSpot call records. Administration of Lucia will focus on enrichment workflows, API keys, and mapping enrichment fields to HubSpot and LlamaVisor. Support for Sendspark will include template management, personalization tokens, and integrations for personalized video outreach.
  • • A significant aspect of this role is owning LlamaVisor integrations, ensuring reliable synchronization of customer data between LlamaVisor and analytics systems, debugging any sync issues, and maintaining detailed data model documentation.
  • • In terms of integration and automation, you will design, implement, and maintain integrations between various systems, leveraging native integrations, middleware solutions like Zapier or Make, and custom scripts utilizing APIs. A core focus will be building and maintaining automations to streamline manual tasks for Sales, SDR, Customer Success (CS), and Marketing teams, while rigorously ensuring data integrity across all systems through deduplication, precise field mapping, and robust sync rules, alongside maintaining data pipelines.
  • • For reporting and observability, you will maintain GTM operational dashboards and reports, provide support for ad hoc analytics requests, and ensure the accuracy of our source-of-truth data. Implementing alerts and Service Level Agreements (SLAs) for critical syncs and automations will be crucial for proactive issue resolution.
  • • Enablement and documentation are key components, requiring you to produce clear runbooks, system diagrams, onboarding documentation, and training materials for GTM teams. You will also be responsible for training Sales, Marketing, and CS teams on best practices and new system functionalities.
  • • Finally, vendor and budget management will involve managing vendor relationships, contracts, and renewals, as well as assisting in the evaluation of new GTM tools. You will also manage operational budgets for GTM tooling as required.

🎯 Requirements

  • • 3+ years of experience administering GTM systems (CRM, sales enablement, communication tooling) or in a Revenue Operations / GTM Operations role.
  • • Hands-on experience administering HubSpot, including managing properties, pipelines, workflows, and reporting.
  • • Experience with one or more of the following systems: Gong, PandaDoc, Dialpad, Sendspark, or similar.
  • • Strong API and integration experience, including building and maintaining integrations using REST APIs. Experience with middleware like Zapier or Make is a plus.
  • • Comfortable with SQL and troubleshooting data issues.
  • • Strong documentation and stakeholder communication skills, with proven cross-functional collaboration experience with Sales and Marketing teams.
  • • Excellent problem-solving and incident response skills, with the ability to independently drive projects to completion.
