  • • As a Healthcare Documentation Specialist, you will play a pivotal role in ensuring the smooth and compliant onboarding of families and caregivers onto our platform. This role is crucial for maintaining the integrity of our operations and facilitating the delivery of essential care services.
  • • Your primary responsibility will be to meticulously collect, verify, and track all necessary documentation from both families and caregivers. This includes, but is not limited to, identification documents, proof of residency, certifications, and health records, ensuring each piece of information meets our stringent standards and regulatory requirements.
  • • You will be the primary point of contact for families and caregivers navigating the documentation process, providing clear, empathetic, and efficient guidance. This involves making and receiving a significant volume of calls daily, estimated between 50-70, requiring exceptional communication skills and a patient demeanor.
  • • A key aspect of this role is ensuring the accuracy, completeness, and compliance of all submitted documents with relevant state and federal regulations, including Medicaid and Medicare guidelines. You will be responsible for proactively tracking document expirations and initiating timely reminders to ensure continuous compliance and uninterrupted care.
  • • This position requires a proactive approach to problem-solving, identifying potential issues in documentation and working collaboratively to resolve them swiftly. You will act as a bridge between families, caregivers, and our internal teams, ensuring seamless communication and coordination.
  • • You will work closely with our Onboarding, Credentialing, and Family Support teams to guarantee a cohesive and positive experience for everyone involved. Your ability to maintain organized records, manage a high volume of tasks, and contribute to process improvements will be vital to our collective success.

🎯 Requirements

  • • Associate or Bachelor's degree in a healthcare-related field or equivalent practical experience.
  • • Proven experience in customer service, administrative support, or healthcare operations, with a strong emphasis on handling documentation and client interactions.
  • • Prior authorization experience and a demonstrated understanding of the healthcare industry are highly preferred.
  • • Excellent verbal and written communication skills, with the ability to convey information clearly, concisely, and empathetically.
  • • Strong attention to detail and exceptional organizational skills, essential for accurate documentation review and record-keeping.
  • • Ability to manage a high volume of inbound and outbound calls (50-70 per day) in a fast-paced environment while maintaining professionalism and efficiency.
  • • Familiarity with HIPAA, Medicaid, and Medicare regulations, as well as general healthcare documentation standards.
  • • Experience with CRM systems, reporting tools, shared drives, and document tracking systems.
  • • Ability to perform repetitive tasks accurately and consistently while meeting strict deadlines.
  • • A proactive process improvement mindset and a focus on operational efficiency.
