This pivotal position will provide essential support to a prominent U.S.-based client operating within the fast-paced promotional products industry. Your contributions will be crucial in ensuring the smooth functioning of sales, creative, fulfillment, and vendor coordination departments.
  • • In this role, you will be the backbone of operational efficiency, meticulously managing data and production workflows. You will also play a key role in facilitating clear and professional internal and external communications, acting as a vital link between the client, their customers, and various internal teams.   • • Your primary responsibilities will encompass a broad range of administrative and production support tasks. You will be entrusted with maintaining executive calendars, scheduling critical meetings, and diligently preparing concise yet comprehensive meeting recaps to ensure everyone stays informed and aligned. The organization and maintenance of digital files, databases, and essential internal documentation will be a core function, ensuring that information is readily accessible and securely stored.
  • • Furthermore, you will be responsible for the preparation of detailed shipping spreadsheets, including the meticulous management of dropship and fulfillment lists, ensuring timely and accurate dispatch of goods. The creation and management of shipping labels will also fall under your purview, requiring precision and attention to detail. A significant aspect of this role involves the creation, documentation, and ongoing maintenance of internal processes. Your proactive approach to identifying inefficiencies and developing streamlined workflows will be instrumental in enhancing overall team productivity and consistency.
  • • Beyond administrative duties, you will provide critical production support. This includes maintaining clear, professional, and timely communication channels with team members, clients, and vendors, fostering strong working relationships. You will be tasked with requesting artwork and articulating all necessary details and specifications with absolute clarity to ensure creative briefs are understood and executed flawlessly. The creation of engaging online catalogs featuring new products will be a creative outlet, showcasing your ability to present information attractively.
  • • You will also be responsible for requesting or producing virtual mockups as needed, a crucial step in the client approval process. The management and updating of marketing lists, which often contain frequently changing client information, will require diligence and accuracy. A key learning opportunity will be to master the creation of ESP and Sage presentations, independently researching products and industry trends to inform these materials. This role demands a solid understanding of creative and promotional product terminology, including knowledge of vector files, their requirements, and the distinctions between PMS colors, CMYK, and RGB color models. You may also be asked to assist in reviewing basic art files and specifications before production, ensuring quality control.
