We are seeking a highly organized and detail-oriented HR & Benefits Operations Specialist to provide essential administrative and operational support across our Human Resources functions. This is a remote position based in the United States, reporting to the Team Lead, HR Operations & Benefits.
- • In this pivotal role, you will be instrumental in ensuring the smooth and efficient operation of various HR programs and activities. Your responsibilities will span critical areas such as recruitment support, onboarding, leave administration, benefits management, and HRIS data integrity. You will act as a key point of contact for employee inquiries, ensuring timely and accurate responses while maintaining the highest standards of confidentiality and professionalism.
- • Key Responsibilities include:
- • **Recruitment and Pre-Hire Support:** Provide crucial support for recruitment activities, including the setup, ongoing administration, and maintenance of background checks. You will be responsible for ensuring the timely resolution of any adjudication issues that arise, facilitating a seamless pre-employment process for our candidates.
- • **Onboarding Excellence:** Monitor and manage the onboarding progress of new hires through reports and dashboards. Your proactive approach will involve auditing and following up on outstanding tasks to guarantee that critical new hire requirements, such as I-9 verification and E-Verify, are completed within targeted timelines, setting our new team members up for success from day one.
- • **Leave and Absence Program Administration:** Administer a comprehensive range of employee leave and absence programs. This includes managing statutory and company-sponsored leaves such as family, medical, parental, military, and disability-related leaves. You will ensure strict compliance with all applicable local laws and company policies, providing essential support to employees during significant life events.
- • **Employee Inquiry Management:** Serve as a primary point of contact for employee inquiries submitted through our HR ticketing system. You will be expected to respond to these inquiries in accordance with established service level expectations, providing accurate and helpful information in a timely manner.
- • **Benefits Program Administration:** Oversee the administration of our diverse employee benefits programs, encompassing medical, dental, vision, life, disability, retirement, wellness, and leave programs. This involves managing employee benefit changes, ensuring compliance with all statutory requirements, and verifying the accuracy of payroll deductions related to benefits.
- • **Benefits Vendor Management and Reconciliation:** Review, reconcile, and manage benefits vendor invoices to ensure the accuracy of eligibility, coverage levels, and premium rates. You will be responsible for ensuring timely payment processing, maintaining strong relationships with our benefits partners.
- • **HRIS Data Integrity (Workday):** Enter, maintain, and meticulously audit data within our Workday HRIS system. This includes correcting and rescinding transactions, creating and maintaining supervisory organizations, and processing worker moves. Your diligent efforts will ensure overall data integrity through routine audits and proactive data management.
- • **Compliance and Audits:** Support various benefits audits, including nondiscrimination testing and regulatory filings. Your attention to detail will be critical in ensuring Everfox remains compliant with all relevant regulations.
- • **Process Documentation:** Create and document Standard Operating Procedures (SOPs) for HR operations and benefits administration. This will contribute to the standardization and efficiency of our HR processes.
- • **Confidentiality and Data Security:** Handle all sensitive employee data with the utmost discretion and a high degree of confidentiality, strictly adhering to data privacy and security standards. Your commitment to protecting employee information is paramount.
- • **Continuous Improvement:** Perform other related duties as required, contributing to the overall efficiency and effectiveness of the HR Operations and Benefits team. You will be encouraged to identify opportunities for process improvements and contribute to the evolution of our HR practices.
