As an Onsite HR Specialist for Shared Services, you will be a cornerstone of this mission, serving as the primary point of contact for employees seeking support and ensuring they receive clear, timely, and accurate assistance across a range of essential HR functions. This role is pivotal in maintaining high standards of service delivery and operational efficiency within the Human Resources department, directly impacting employee satisfaction and the smooth functioning of the organization.
- ⢠In this dynamic role, you will act as a subject matter expert for core HR topics, including but not limited to payroll inquiries, benefits administration, compensation queries, company policies, timekeeping procedures, and holiday schedules. Your day-to-day responsibilities will involve serving as the first point of contact for employees, whether they approach you directly with walk-up questions or submit inquiries through the HR Helpdesk. You will be responsible for providing Tier 1 guidance, effectively triaging incoming cases, analyzing employee requests, and determining the most appropriate resolution, transaction, or escalation path. This requires a keen ability to understand diverse HR issues and to navigate them with efficiency and accuracy. You will partner closely with HR Centers of Excellence to resolve escalated issues, ensuring that all employee concerns are addressed promptly and effectively, and that cases are closed with a high degree of accuracy and satisfaction. Maintaining detailed and comprehensive case documentation is crucial, including thorough notes on troubleshooting steps, resolutions, and any necessary data updates. You will also be tasked with monitoring open cases to ensure that Service Level Agreements (SLAs) are consistently met, proactively following up on any cases that require additional attention to maintain service standards. Furthermore, you will play a key role in curating and maintaining the HR knowledge base content, ensuring that information is accurate, up-to-date, and easily accessible to employees and the HR team, thereby fostering self-service and reducing recurring inquiries.
- ⢠Beyond direct employee support, you will provide essential HR operations and administrative support. This includes meticulously maintaining employee files and HRIS records, ensuring all data is accurate, compliant with regulations, and updated in a timely manner. You will support pre-boarding and onboarding activities, which involves critical tasks such as I-9 verification, ensuring completion of HRIS documents, and managing the logistics for new-hire orientations. You will prepare necessary documentation, process routine HR transactions efficiently, and support data entry and reconciliation tasks related to payroll, employment history, and HR systems. Your role will also extend to assisting with international transfers, contractor conversions, and the crucial documentation for work authorizations. A significant aspect of your role will involve coordinating with cross-functional HR partners to ensure the seamless handling of escalations, exceptions, and sensitive employee matters, requiring strong collaboration and communication skills. You will also provide consistent administrative support to Internal Audit, Legal, Immigration, and HRIS teams, assisting with their data requests and operational needs. This includes supporting labor law posting compliance for both onsite and remote employees, and assisting with government information requests such as subpoenas, unemployment insurance claims, and employment verification documentation. Additionally, you will support risk evaluations for new remote work locations by gathering data, maintaining documentation, and coordinating with HR partners for legal and tax liability assessments. You will also support vendor relationship management by maintaining documentation, tracking services, and coordinating HR-related vendor activities.
