  • • Manage a high-volume portfolio of immigration files from client intake through government submission and final decision, ensuring timely and accurate processing
  • • Serve as the primary point of contact for clients, providing clear, professional, and warm communication via digital channels to answer questions and guide them through requirements
  • • Use the firm’s proprietary operations dashboard and AI-enhanced client portal to track case status, monitor deadlines, and respond to client inquiries — eliminating reliance on email threads and manual tracking
  • • Collect, review, and verify client-submitted documentation for accuracy and completeness, preparing comprehensive submission packages for legal review
  • • Coordinate directly with supervising attorneys to escalate complex legal issues with full context, enabling swift and informed legal action
  • • Identify and resolve bottlenecks in case workflows; proactively unblock stalled files by determining root causes and implementing corrective actions
  • • Flag repetitive or manual tasks within the workflow and propose automation opportunities to improve efficiency and reduce administrative burden
  • • Maintain strict compliance with immigration regulations and internal quality control standards while ensuring all client files meet submission readiness criteria
  • • Collaborate with the legal team to ensure consistency in documentation, client messaging, and procedural adherence across all cases
  • • Leverage real-time performance metrics displayed in the operations dashboard to self-manage workload, prioritize tasks, and meet clear, measurable targets
  • • Contribute feedback on system improvements, tool enhancements, and process optimizations based on daily operational experience
  • • Work within a technology-driven environment that replaces spreadsheets and sticky notes with AI-powered tools designed to reduce busywork and increase client impact
  • • Support the firm’s mission of delivering high-quality immigration services to thousands of clients annually through citizenship, express entry, work permits, family sponsorship, and criminal inadmissibility cases
  • • Maintain confidentiality and professionalism in handling sensitive personal and legal information across all client interactions

🎯 Requirements

  • • Organized and detail-oriented with a proven ability to manage multiple high-stakes files without errors or missed deadlines
  • • Strong written communication skills in English, with the ability to explain complex immigration processes in clear, empathetic, and professional language
  • • Comfortable using digital case management systems, CRMs, or dashboards; experience with AI tools like ChatGPT or Claude is a bonus
  • • Fast learner with the ability to quickly master new domains, including Canadian immigration law and procedures
  • • Ability to work independently while maintaining alignment with legal team priorities and quality standards
  • • Bilingual (English/French) is an asset but not required
