- • Own end-to-end planning and execution of Camunda Kickoff, the company’s largest annual global internal event, including venue sourcing, contract negotiation, travel coordination, accommodation, F&B, AV, and on-site operations.
- • Manage a network of external vendors with clearly defined SLAs, budgets, and accountability, ensuring high-quality delivery across all event components.
- • Partner directly with the CEO, Chief People Officer, and functional leaders to shape the event agenda, ensuring alignment with company strategy, culture, and priorities.
- • Curate substantive, engaging content for sessions, working closely with presenters to refine narrative, flow, and relevance—eliminating filler and maximizing attendee impact.
- • Build, manage, and track the event budget, reporting accurately on actual spend versus forecast, and ensuring financial accountability across all expenditures.
- • Lead post-event retrospectives to capture learnings, measure effectiveness, and implement improvements for future iterations of Camunda Kickoff and other gatherings.
- • Design and execute year-round culture and connection programming, including team milestones, recognition events, and seasonal touchpoints that reinforce Camunda’s values and global identity.
- • Advise the broader People team on the annual events calendar, prioritizing high-impact moments while preventing Camundi fatigue through thoughtful pacing and strategic timing.
- • Develop and maintain scalable, repeatable processes for event planning, vendor management, and stakeholder communication, creating an internal events playbook for team adoption.
- • Track and report on event effectiveness using clear metrics tied to attendance, engagement levels, and participant feedback to demonstrate ROI and guide future planning.
- • Operate with deep operational discipline in a fast-moving, remote-first environment, adapting quickly to shifting priorities without sacrificing detail or quality.
- • Work independently with significant ownership—no large team to manage initially—but with direct access to senior leadership and the authority to make critical decisions.
- • Leverage project management tools (e.g., Asana or similar) to maintain organization, timelines, and cross-functional alignment across global stakeholders.
- • Bring genuine judgment to every decision: identifying what makes a session meaningful, a room setup effective, and an agenda compelling for a globally distributed workforce.
- • Thrive in ambiguity, taking initiative to solve problems proactively and communicate clearly when challenges arise.
- • Apply experience working in remote or distributed organizations to design events that bridge geographic distance and foster authentic connection among Camundi who rarely meet in person.
🎯 Requirements
- • Five or more years of direct, hands-on experience managing corporate or internal events, specifically including large-scale, multi-day gatherings with international attendees.
- • Demonstrated ability to manage complex logistics, multiple vendors, and senior stakeholders simultaneously without losing attention to detail.
- • Strong project management skills with proven use of systems and tools to maintain organization, not relying solely on instinct.
- • Genuine judgment in curating event content, room setups, and agendas that maximize engagement and avoid filler.
- • Comfort working in ambiguity and iterating quickly in a fast-paced, remote-first environment.
- • Bias toward action and clear communication when issues arise during event execution.
