• • As a Junior Accounts Payable & Finance Operations Specialist, you will play a crucial role in supporting our dynamic Finance team. This position is integral to maintaining the financial health and operational efficiency of our rapidly growing company. You will be instrumental in managing the end-to-end process of supplier invoices, ensuring that all payments are processed accurately and on time. Your meticulous attention to detail will be key in reconciling accounts and contributing to the overall cleanliness and integrity of our financial operations.
• • You will work in close collaboration with our Financial Controller, Nikolett, and our CFO, Marusa, gaining invaluable experience in a fast-paced, high-growth startup environment. This role offers a unique opportunity to contribute directly to the financial infrastructure of a category-defining AI company.
• • ACCOUNTS PAYABLE OPERATIONS:
• • Your primary responsibility will be the meticulous collection, verification, and processing of all incoming supplier invoices. This involves ensuring that each invoice is accurate, properly authorized, and contains all necessary supporting documentation before it is entered into our accounting system.
• • You will be responsible for renaming, organizing, and systematically uploading invoice files into our accounting software, ensuring a clear and accessible digital filing system.
• • A critical part of your role will be to ensure that all documentation required for accurate posting by the accountant is complete and readily available, minimizing delays and potential errors.
• • BANK & PAYMENT ACTIVITIES:
• • You will actively monitor our automated bank feeds, proactively identifying any missing receipts or unmatched transactions that require further investigation.
• • You will be tasked with following up with internal teams and external vendors to obtain any missing invoices or essential supporting documentation, ensuring a complete audit trail.
• • You will prepare organized payment batches for review and approval by the CFO, ensuring that all payments are accurate and aligned with company policies.
• • RECONCILIATION & CONTROLS:
• • You will ensure that all accounts payable balances are accurately reconciled within our accounting system on a regular basis, maintaining the integrity of our financial records.
• • You will be expected to highlight any discrepancies identified during the reconciliation process and diligently follow up to ensure their prompt resolution.
• • You will provide essential assistance with month-end closing procedures, specifically focusing on accounts payable checks and reconciliations as required by the finance team.
• • BANK & COMPLIANCE SUPPORT:
• • You will serve as a key operational contact for any bank compliance-related inquiries or documentation requests, liaising between the finance team and our banking partners.
• • You will support the timely and accurate preparation of responses to Know Your Customer (KYC) and Anti-Money Laundering (AML) queries, as well as other bank-related documentation requests, ensuring we maintain strong relationships with our financial institutions.
• • This role is vital for ensuring our financial operations are not only efficient but also compliant with all relevant regulations and banking requirements, especially in a multi-currency and multi-entity environment.
