• • As a Junior Accounts Payable & Finance Operations Specialist, you will play a crucial role in supporting our dynamic Finance team. This position is integral to maintaining the financial health and operational efficiency of our rapidly growing organization. You will be instrumental in managing the lifecycle of supplier invoices, ensuring the accuracy and timeliness of payments, and contributing to the overall integrity of our financial records. • • **ACCOUNTS PAYABLE OPERATIONS:**
• • Take ownership of the entire accounts payable process, from the initial collection of supplier invoices to their final processing and recording.
• • Meticulously verify the accuracy and completeness of all incoming invoices, ensuring they align with purchase orders and company policies.
• • Systematically rename, organize, and upload invoice files into our accounting system, maintaining a clear and accessible digital filing structure.
• • Ensure that all necessary documentation and approvals are in place for each invoice, facilitating accurate and timely posting by the accounting team.
• • Proactively identify and resolve any discrepancies or issues related to supplier invoices, ensuring smooth processing.
• • **BANK & PAYMENT ACTIVITIES:**
• • Diligently monitor automated bank feeds, promptly identifying any missing receipts, unmatched transactions, or discrepancies.
• • Actively follow up with internal teams and external vendors to obtain any outstanding invoices or essential supporting documentation required for accurate record-keeping.
• • Prepare comprehensive payment batches for review and approval by the CFO, ensuring all payments are accurate and authorized.
• • Execute timely payments to suppliers, adhering to established payment schedules and terms.
• • **RECONCILIATION & CONTROLS:**
• • Ensure the accurate reconciliation of accounts payable balances within the accounting system on a regular basis.
• • Proactively highlight any discrepancies identified during reconciliation processes and diligently follow up to ensure their prompt resolution.
• • Provide essential support for month-end closing procedures, specifically focusing on accounts payable checks and reconciliations as required.
• • Assist in maintaining robust internal controls over the accounts payable process to prevent errors and fraud.
• • **BANK & COMPLIANCE SUPPORT:**
• • Serve as a key operational contact point for the Finance team regarding bank compliance requirements and documentation requests.
• • Support the timely and accurate preparation of responses to Know Your Customer (KYC), Anti-Money Laundering (AML), or other bank-related queries.
• • Assist in gathering and organizing financial documentation for audits or regulatory reviews.
• • Contribute to maintaining up-to-date vendor information and compliance records.
