You will be an integral part of our Finance team, working closely with our Financial Controller, Nikolett, and our CFO, Marusa, to ensure seamless financial operations.
• • As a Junior Accounts Payable & Finance Operations Specialist, your primary responsibility will be the meticulous management of supplier invoices and the execution of timely payments. This involves a proactive approach to collecting, verifying, and processing all incoming supplier invoices, ensuring that each document is accurately renamed, systematically organized, and uploaded into our accounting system. Your diligence in ensuring complete and correct documentation for posting by the accountant will be paramount to maintaining accurate financial records and facilitating smooth month-end closing processes.
• • A significant part of your role will involve monitoring our automated bank feeds. You will be tasked with identifying any missing receipts or unmatched items, requiring you to proactively follow up with internal teams to obtain the necessary invoices or supporting documentation. This attention to detail is vital for accurate reconciliation and preventing payment delays. You will also be responsible for preparing payment batches for the CFO’s review and approval, ensuring all necessary checks and balances are in place before any transactions are finalized.
• • Maintaining the accuracy of our financial records is a key objective. You will be responsible for ensuring that accounts payable balances are reconciled correctly within the system on a regular basis. This includes highlighting any discrepancies that arise and diligently following up for their prompt resolution. Your contribution to month-end AP checks will be essential in identifying and rectifying any outstanding issues, ensuring the overall health of our financial operations.
• • Beyond core AP functions, you will serve as an operational point of contact for bank compliance and documentation requests. This involves acting as a liaison between the finance team and our banking partners, supporting timely responses to Know Your Customer (KYC) and Anti-Money Laundering (AML) queries, and fulfilling other bank-related documentation requirements. This aspect of the role demands a high level of professionalism and accuracy in handling sensitive information.
• • The ideal candidate will possess a strong foundation in accounts payable and finance operations, with 2-4+ years of relevant experience. You should be exceptionally detail-oriented and possess strong organizational skills, with a proven ability to manage multiple tasks efficiently. Experience with various accounting systems such as Xero, QuickBooks, NetSuite, or SAP is highly desirable, as is comfort in navigating online banking portals and payment tools. Exposure to multi-entity or multi-currency operations would be a significant advantage, reflecting the global nature of EverAI's business.
