• • As a Junior Accounts Payable & Finance Operations Specialist, you will play a crucial role in supporting our dynamic Finance team. This position is integral to maintaining the financial health and operational efficiency of our rapidly growing, fully remote organization. You will be instrumental in managing the end-to-end process of supplier invoices, ensuring that all payments are processed accurately and on time. Your meticulous attention to detail will be vital in reconciling accounts and contributing to the overall cleanliness and integrity of our financial operations.
• • This role offers a unique opportunity to work closely with our experienced Financial Controller, Nikolett, and our CFO, Marusa, gaining invaluable insights into the financial intricacies of a fast-paced, category-defining tech company. You will be a key contributor to the Accounts Payable (AP) function, handling the critical tasks that ensure our vendors are paid promptly and our financial records are impeccably maintained.
• • Your core responsibilities will encompass the entire lifecycle of supplier invoices. This includes the diligent collection, thorough verification, and accurate processing of all incoming supplier invoices. You will be responsible for renaming, systematically organizing, and uploading these documents into our accounting system, ensuring that all necessary information is readily available for posting by the accountant. Maintaining complete and accurate documentation is paramount to this role, ensuring compliance and audit readiness.
• • In the realm of bank and payment activities, you will actively monitor our automated bank feeds, proactively identifying any missing receipts or unmatched items that require immediate attention. A significant part of your role will involve collaborating with internal teams to chase down and obtain any missing invoices or supporting documentation, ensuring that all transactions are fully substantiated. Furthermore, you will be responsible for preparing comprehensive payment batches for the CFO's review and subsequent approval, a critical step in our payment disbursement process.
• • Reconciliation and controls are central to maintaining financial accuracy. You will ensure that our accounts payable balances are consistently and correctly reconciled within the accounting system. Any discrepancies or anomalies identified will need to be highlighted promptly, and you will be expected to follow up diligently to ensure their swift resolution. Your support will also be required for essential month-end AP checks, contributing to the closing process and financial reporting.
• • Beyond day-to-day operations, you will act as a key operational contact for any bank compliance or documentation requests. This involves supporting timely and accurate responses to Know Your Customer (KYC) and Anti-Money Laundering (AML) queries, as well as other bank-related inquiries, ensuring our financial relationships remain compliant and robust.
• • This role demands a high degree of organization, an unwavering commitment to detail, and proficiency with accounting systems. Experience with platforms such as Xero, QuickBooks, NetSuite, or SAP is highly desirable. You should be comfortable navigating online banking portals and utilizing various payment tools. Exposure to multi-entity or multi-currency operations would be a significant advantage, reflecting the global nature of our business.
