- • Own the full-cycle accounts payable process: receive, review, and accurately code 100+ vendor invoices each week to production jobs, media orders, and overhead GL accounts, ensuring every dollar is traceable and auditable.
- • Become the gatekeeper of employee spend by auditing and approving expense reports in Concur, catching policy violations, duplicate submissions, and missing receipts before they hit the books.
- • Orchestrate the weekly payment run: compile approved invoices, prepare the ACH/check batch in FastPay and multiple vendor portals, and confirm that every payment is released on time and in the correct currency.
- • Issue client invoices for production, media, and agency fees—often exceeding $1 M per month—exactly as contracted, then shepherd them through internal review, client approval, and cash application.
- • Build and maintain job codes in Advantage from green-light to close-out, enabling accurate time entry, cost tracking, and margin reporting for every campaign and production.
- • Reconcile all operating, payroll, and client-trust bank accounts monthly, identifying and clearing variances within 3 business days to keep cash positions transparent.
- • Import and code corporate credit-card statements each month, partnering with Operations and Production to ensure every charge is explained and allocated to the right job or overhead line.
- • Generate virtual credit cards on demand for freelancers and vendors, setting spend limits and expiration dates that align with purchase orders and budget controls.
- • Send friendly but firm reminders to 100+ employees to complete missing timesheets, protecting revenue recognition and client billing deadlines.
- • Support ad-hoc requests from Finance leadership—whether it’s pulling a WIP report for the CFO, building a pivot table for a producer, or helping audit prep—delivering clean data and clear narratives.
- • Continuously improve: propose new Excel templates, Concur rules, or Advantage shortcuts that shave hours off recurring tasks and elevate the team’s reputation for accuracy.
- • Champion a culture of compliance and customer service, treating every vendor, employee, and client interaction as a chance to reinforce Zambezi’s values of transparency and respect.
🎯 Requirements
- • Bachelor’s degree in Accounting, Finance, or related field (or equivalent combination of education, training, and experience).
- • 0–2 years of hands-on accounting experience; internship or part-time AP/AR work counts.
- • Demonstrated proficiency in Microsoft Excel (pivot tables, v-lookups) and Google Workspace.
- • Experience with Advantage Software and/or Concur is a strong plus.
- • Must reside in the greater Los Angeles area and be available for hybrid schedule.
