This pivotal role serves as the very first point of contact for individuals embarking on their health and wellness journey, primarily through SMS and phone interactions. You will be instrumental in building trust, fostering a sense of care, and guiding prospective patients seamlessly toward their next crucial step in treatment.
  • • As a New Patient Coordinator, your primary responsibility is to engage with inbound inquiries, transforming initial interest into a commitment to care. This involves more than just answering questions; it requires a deep dive into understanding each individual's unique goals, concerns, and health needs. Through empathetic and open-ended conversations, you will create a welcoming and supportive environment, making prospective patients feel valued and confident in their decision to explore our services.
  • • This is a full-time, on-call position that demands consistent availability during assigned US time zone hours (EST–PST). Your responsiveness is paramount, as you'll be expected to promptly address new inquiries as they arise. While active call handling is not constant and depends on inquiry volume, your accessibility and readiness to connect are essential. This flexibility allows for focused engagement when needed and the ability to manage your time effectively when the volume is lighter, all while ensuring no prospective patient is left waiting.
  • • A core function of your role will be to skillfully schedule consultations. You will leverage tools like Calendly and internal scheduling systems to find optimal times for prospective patients to connect with our care providers, ensuring a smooth and efficient transition from inquiry to consultation.
  • • Meticulous record-keeping is vital. You will be responsible for accurately documenting all interactions, detailed notes, and essential patient information within our CRM and EMR platforms. This ensures continuity of care, provides valuable insights for our team, and maintains the integrity of our patient data.
  • • Proactive and thoughtful follow-ups are key to maintaining engagement and encouraging patients to move forward. You will implement strategies to nurture these relationships, ensuring that prospective patients feel supported throughout their decision-making process and are reminded of the benefits of proceeding with their care journey.
  • • Upholding the highest standards of confidentiality and data accuracy is non-negotiable. You will handle sensitive patient information with the utmost discretion, ensuring compliance with all privacy regulations and maintaining the integrity of our systems.

🎯 Requirements

  • • Minimum of 2 years of experience in client-facing roles, such as patient intake, customer service, or other engagement-focused positions.
  • • Exceptional written communication skills, with a proven ability to craft clear, concise, and empathetic SMS messages, alongside a professional and engaging phone presence.
  • • Strong active listening skills, coupled with a patient and empathetic communication style that builds rapport and trust.
  • • Demonstrated comfort and reliability working in an on-call capacity, ensuring consistent responsiveness during scheduled working hours.
  • • Proficiency with spreadsheet software (e.g., Microsoft Excel, Google Sheets) and the ability to rapidly learn and adapt to new software systems.
  • • Proven experience working remotely, including fluency with remote collaboration tools (e.g., Slack, Zoom, Google Workspace, Asana) and ideally prior experience with US or UK-based companies.
