- • Serve as the first point of contact for new patient inquiries via SMS and phone calls, responding promptly to leads throughout the day.
- • Engage prospective clients in empathetic, open-ended conversations to understand their health goals, needs, and medical history without relying on scripts.
- • Use scheduling tools such as Calendly to coordinate and confirm phone consultations for clients who prefer direct conversations.
- • Accurately document all client interactions, preferences, and health-related information in the company’s CRM and scheduling systems, with training provided on Go High Level and DrChrono.
- • Maintain confidentiality and adhere to best practices for data privacy and client record-keeping at all times.
- • Provide personalized, friendly follow-up messages to clients who require additional information or encouragement to schedule their consultation.
- • Monitor inbound SMS channels continuously during assigned availability windows to ensure timely responses to new inquiries.
- • Remain accessible during East Coast hours (16:00–24:00 GMT) to respond to leads as they arrive, even when volume is sporadic.
- • Build trust and rapport through active listening, demonstrating genuine curiosity and compassion in every interaction.
- • Support the client intake process by identifying key barriers or concerns that may prevent scheduling and offering thoughtful guidance to overcome them.
- • Collaborate with internal teams to ensure seamless handoffs of qualified leads to clinical or care coordination staff.
- • Maintain high standards of professionalism and tone in all written and verbal communications, adapting language to suit diverse client backgrounds.
- • Stay informed about basic healthcare and wellness concepts related to telehealth, chiropractic care, physical therapy, or concierge medicine to better serve client needs.
- • Utilize basic Excel skills to organize, input, or extract data from spreadsheets as needed for reporting or client tracking.
- • Embrace a remote, on-call work model where responsiveness and reliability are critical, even during non-peak hours.
- • Contribute to a culture centered on empathy, authenticity, and client-centered care, prioritizing human connection over transactional interactions.
